As a vital member of Georgetown University, Office of Advancement's Institutional Partnerships team, the Senior Development Associate assists and supports the Assistant Vice President and the Office of Institutional Partnerships (OIP) team in the cultivation, solicitation and stewardship of foundation and corporate donors and prospects. In addition, the Senior Development Associate is responsible for administrative tasks related to building and maintaining a successful OIP development program to achieve the goals of Georgetown University's next fundraising campaign. The Senior Development Associate serves as a front-line representative of the Office of Institutional Partnerships office to colleagues in the Office of Advancement; university faculty, administrators and staff in university leadership offices; and donors, prospects and students. This position provides general administrative and logistical support within the unit, with a range of responsibilities that include: prospect research, drafting, editing and formatting proposal materials, briefings, correspondence, narrative and financial reports, donor acknowledgements, and presentations, along with compiling and submitting proposal packages, assisting with drafting and disseminating requests for proposals and other time-sensitive funding opportunities.
The Senior Development Associate reports to the Assistant Vice President of the Office of Institutional Partnerships (OIP). This position works collaboratively with the Assistant Vice President, Director and Assistant Director of OIP on a variety of development projects spanning multiple campuses, schools and units as well as managing phone and email contact with university constituents as well as external foundation and corporate donors. The Senior Development Associate will have duties that include, but are not limited to the following:
Pre-Award Prospect Discovery and Cultivation
Research grant opportunities in online databases (e.g., Pivot, Foundation Directory, Chronicle of Philanthropy, etc.), digests, journals, and websites.
Conduct funding scans and prospect research for potential prospects by content area, faculty experience, or funding level.
Create background memos for priority prospects in support of AVP, Director, and Assistant Director. Draft event briefings and talking points for OIP, Advancement, and University leadership.
Maintain/update annual Limited Submission Opportunity log and notification system for opportunity dissemination.
Draft internal announcements and work with appropriate sponsored research offices to disseminate to faculty.
Organize and facilitate campus visits for institutional funders, managing all travel, meal, and location logistics.
Manage and maintain OIP templates regarding requests for payment, cover memos, sponsorship documents, etc.
Draft, edit and format proposal materials (e.g., edit text for proposals and online applications, compile and update attachments, review and format budgets and budget narratives) and other required materials, as needed. Assist in proofing, compilation, and packaging of grant proposals.
Ensure delivery of complete proposal packages by deadline; obtain proof of receipt documentation.
Maintain up-to-date inventory of standard proposal attachments (e.g., university financial statements, budgets, fact sheets, list of top annual donors, etc.).
Facilitate communications between OIP and other key offices (e.g., President, Provost, Office of Research Services on main campus, Office of Sponsored Research on medical campus, etc.) by building peer and counterpart relationships that are responsive to unanticipated requests for information, letters and financial information on short notice to meet proposal deadlines.
Assume major role in writing and communications with principal investigators for proposals in $10,000-$25,000 range, in consultation with Assistant Vice President and/or Director.
Post Award Management
Receive and process all checks and wire contributions from institutional funders.
Ensure department accounts and records in GU360 Advancement database are accurate and up to date and collaborate with relevant Georgetown offices, including departmental finance offices, the Advancement Office of Gift Administration, Office of Research Services, and the Offices of Financial Affairs and the Chief Financial Officer.
Understand GU360 reporting functions and regularly pull opportunity lists and giving summaries for OIP and faculty purposes.
Track, draft, and edit interim and final grant reports.
Work with Advancement Stewardship to manage and maintain OIP post-award activity, including the Presidential and VP of Advancement acknowledgement system.
Collaborating with other Advancement units, support Advancement's review of sponsored research for philanthropic and campaign counting.
Provide administrative support to Assistant Vice President and OIP team: schedule meetings/travel; maintain shared calendars; process and maintain records for expenditures, including monthly reconciliation for review by Assistant Vice President.
Process and distribute office mail; respond to inquiries that are delivered to the team's inbox.
Organize and maintain office supply inventory, proposal materials, administrative files, and OIP Box folders (i.e. OIP's shared drive) for electronic documents.
Participate in office management shifts for front desk coverage.
Maintain and update OIP website in WordPress.
Respond independently to general inquiries from faculty, students, principal investigators and Advancement colleagues regarding the role and services of the OIP office.
Requirements and Qualifications
Minimum of three years of corporate and foundation relations support experience, or equivalent combination of training and work experience, preferably in fundraising, higher education or other non-profit setting
Overtime/weekend work may be required to meet grant proposal deadlines and to staff development events
Proficiency in Microsoft Office Suite and Adobe Professional as well as capacity for acquiring strong proficiency in CRM databases
Superior organizational skills, exceptional attention to detail, and the ability to complete tasks in a systematic manner
Flexibility, adaptability and the ability to prioritize assignments and meet deadlines as a team player in a high-pressure, fast-paced environment
The vision, temperament and drive to help develop optimal OIP organizational systems throughout all stages of the complex field of fundraising from private institutions
Excellent communication, interpersonal, writing, and editing skills
Ability to use good judgment and ethical behavior in handling confidential material with sensitivity and discretion
Prior experience in nonprofit development work and with website content maintenance in WordPress is preferred
