The Palo Alto Veterans Institute for Research (PAVIR) is seeking an Administrative Assistant to provide administrative support for the program chair of an annual conference for a national organization for mental health researchers and practitioners. The Administrative Assistant will also be responsible for travel booking and reimbursement, cleaning up EndNote libraries, editing documents, and other tasks as assigned.
Schedule: the hours will vary each week from 0-19, expected average 6-8 hours per week, with a busier period (up to 19 hours per week) between April-June 2020. The schedule is flexible as long as key tasks are completed in time to meet deadlines and milestones.
This is a part-time (0-19 hours a week), non-exempt (hourly-paid) position. Location: Menlo Park, CA.

General Administrative support:
Assist with general administrative tasks to support study program activities;
Assist with conference planning, including data entry, using conference planning software, attending planning calls and taking minutes;
Other administrative tasks assigned.
Assist with logistics, scheduling, travel booking, and budgeting;
Clean up EndNote libraries and website maintenance;
Assist with editing and formatting documents to include reports, program books, and manuscripts;
Other miscellaneous tasks as needed.
Required: High school diploma;
Desired: Bachelor's degree in Psychology or in a related field.
Desired: Experience in planning and coordinating program activities.

Ability to work with highly confidential and/or sensitive matters;
Ability to organize work, set priorities and use good time management;

Understanding of basic office procedures;
Skilled in tracking and follow-up methods;
Proficient in Microsoft Office suite Word, Outlook, Power Point, and Excel;
Working knowledge of basic office machines fax, printer, scanner.
Physical Demands: Lifting office supplies, sitting at a computer, walking to run errands, deliver supplies. etc.
Environmental Conditions: Typical office environment with heavy computer usage.
