The Payroll and Accounting Specialist is primarily responsible for payroll services and supporting the Chief Financial Officer in delivery of accounting, to the BHGH Network Headquarters and US Affiliates of Boys Hope Girls Hope International. Major responsibilities include processing payroll, maintaining payroll and associated personnel records, organizing and maintaining accounting records, reconciliations of payroll and accounting data, and maintaining financial schedules.
Essential duties to be performed include, but are not limited to:
Responsible for accurate and timely processing of bi-weekly payroll for BHGH Network Headquarters and US affiliates
Download bi-weekly payroll reports from iReports and maintain exceptions spreadsheet
Create payroll related vouchers for 401k
Maintain and distribute payroll schedule
Answer and assist employees with payroll related questions
Maintain all payroll and personnel records in ADP and SalesForce, including new additions, deductions, changes, and terminations
Assist with and ensure all 1099, 1096, and W-2’s are properly completed and distributed
Audit monthly Health Insurance, VSP bills and Voluntary Life Insurance bills to confirm deductions and enrollments are correct, and prepare vouchers
Review deductions, withholding and contributions of FSA 125 plan, 403b and 401k plans, monthly
Responsible for supporting the Chief Financial Officer in organization of finance and accounting files and reports for affiliate offices
Enter affiliate as needed, and headquarter payrolls into QuickBooks
Reconcile affiliate accounts as needed
Collect, organize and review affiliate monthly accounting packets to close according to the appropriate checklist and schedule for each affiliate
With the CFO, will maintain Affiliate depreciation schedules and all fixed asset, accumulated depreciation.
Monitor QuickBooks user accounts and assist Affiliates as needed with establishing and removing users
Assist affiliate accounting personnel as needed
Reconcile FSA and Voluntary Life plans
Assist with the daily operations of the international office as needed
Perform back-up duties for Senior Accountant as needed.
Applicants must have a BA
Experience and proficiency in QuickBooks
Three years of related administrative experience, preferably in a nonprofit setting
Strong written and verbal communication skills.
Exceptional attention to detail and organizational aptitude.
Software proficiency in the following preferred: Microsoft Office Applications including Excel, Word, PowerPoint, Outlook and Internet Explorer.
Ability to manage several projects and activities simultaneously.
Ability to maintain confidentiality.
This is a professional position based at the National Office of Boys Hope Girls Hope. The position requires contact with Affiliate and Network Headquarters staff members. Position requires regular written and verbal communication using email and phone. The position requires extensive use of a computer to complete duties.
Though supervision is readily available, must be able to work independently and take initiative as appropriate for the completion of routine assignments and special projects.
The position is currently located in Bridgeton, Missouri but in the coming months will relocate to the St. Louis midtown or downtown area.
