Reporting to the Director of Advancement Services, the Gift and Donor Record Officer is responsible for managing gift and donor records for the purpose of recording, receipting, and acknowledging contributions to the University.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsible for the recording and receipting of gifts and pledges for the university, including the management of the acknowledgement process.
Enter gift and pledges and assist with daily workflow for the regular phonathon season. Manage data and resulting gifts and pledges for special phonathons including athletic teams and campus organizations.
Maintain faculty and staff pledges through payroll deduction.
Assist advancement services staff with creating new donor records and data maintenance, including faculty and staff employment information on an ongoing basis.
Maintain document library of tax receipts and acknowledgement letters for donations made by mail, events, personal visits, athletics, matching gifts and memorials.
Collaborate with Advancement staff including Alumni/Parent Officers in implementing procedures for built-in gifts and other fundraising initiatives.
Maintain filing backup for all gift income for quick access when needed by Advancement staff or university personnel, especially during annual audits.
Reconcile and oversee daily processes for digital and electronic donation systems.
Conduct annual, on-going, and ad hoc data maintenance projects as related to fund raising and alumni/parent programs.
Perform special projects as required to support the advancement program.
OTHER DUTIES AND RESPONSIBILITIES:
Perform other duties as may be assigned by the Director of Advancement Services.
A bachelor's degree is required or equivalent gift processing experience. Two years' experience in an office environment required, preferably in the nonprofit sector. Working knowledge of nonprofit data-services a plus. Working knowledge of MS Windows and MS Office tools required. Database knowledge and experience required. Strong communication and interpersonal skills required. Must be able to work independently as well as in a team environment. Attention to detail is a must. Ability to work under pressure during high volume cycles required.
