The Event and Admin Coordinator (Coordinator) is responsible for the overall coordination of all live and online event duties carried out at CFA Society Boston (CFA SOCIETY BOSTON), including, but not limited to: Annual Market Dinner, Annual Meeting, Conferences, Seminars, luncheons, networking events, committee meetings financial literacy engagements, and special events. The person will also be responsible for supporting the Director, Education and Content, on committee communications and meeting logistics, education and program logistics, post-event survey distribution and analysis, and attendance at all education, networking and programming events. The Coordinator will also be responsible for overall management of the CFA SOCIETY BOSTON office, including but not limited to: mail, telephone, office supplies; calendar and meeting scheduling for staff and committees; and other duties as necessary. The Coordinator reports to and is accountable to the COO of CFA SOCIETY BOSTON.
More specifically, the responsibilities of this position will fall into the following areas:
Oversee the coordination of all programs and events for CFA Society Boston. This includes all logistics, including scheduling the date with all stakeholders and securing a location, in addition to other duties that may be required.
Coordinate all aspects of speakers/presenters, including speaker materials, handouts, a/v needs, on-site accommodations, and any other requirements.
Be on-site at all programs and events to manage registration and presenter set-up; coordinate additional staffing for events when necessary.
Manage the registration process for all education, programs and events, including monitoring registration, preparing badges and registration materials, assisting members and non-members when necessary, attendance and wrap up.
Provide support for email marketing for events
Coordinate social media outreach for events with Director of Marketing
Assist with Financial Literacy event logistics
Office and Administrative Duties
Be first point of contact for society calls; answer phone, direct calls and handle any inquiries as necessary.
Manage all office aspects including office supplies, office machine contracts (postage, Xerox, telephone).
Manage and maintain office supplies for staff.
Coordinate calendar for office; oversee logistics for internal meetings.
Order food/lunches for internal meetings.
Assists colleagues in arranging committee meetings as necessary.
Offer member customer service support (phone, email, etc.).
Attend all CFA SOCIETY BOSTON events, programs and functions as it pertains to the role.
Other duties as required.
The appropriate candidate for this position will possess an undergraduate degree. Work experience in association management is a plus. This individual should be fully conversant with current office technologies and familiar with web-based tools and databases.

Strong written and verbal communications skills.
Strong computer skills, strong knowledge of Microsoft Office; Adobe, email marketing and iMIS database skills a plus.

Able to develop a strong and positive working relationship with multiple parties including CFA SOCIETY BOSTON staff and Board, CFA Institute, members and volunteers, and vendors.
Minimal travel may be required; nights and early mornings may be required.
