The 25+ member Advancement Services (AS) team manages and analyzes an extensive donor/prospect database with more than 600,000 constituent and prospect records combined. AS helps maintain and strengthen the Philanthropy infrastructure while stressing the importance of quality data collection, centralized acknowledgement and gift handling, outstanding prospect management and research, valuable analytics and reporting, innovative software integration, campaign readiness, Luminate TeamRaiser web production, and database administration, integrity, and training.
The Gift Processing Specialist will serve as point of contact for general Gift Services (GS) inquiries, database record updates, gift processing and data management special projects. This person will assist in processing comlex gift transactions from various online and offline sources for gift entry into Raiser's Edge. Besides entering Fred Hutch donations, this individual will assist with letter acknowledgment production as needed. The Gift Processing Specialist will be well-versed in database hygiene best practices and continuously aim to optimize current processes and procedures associated with GS. This role reports to the Director, Gift Services & Data Management.
Execute the following tasks received in the Gift Services Smartsheet queues, but not limited to:
Merging constituent records in Raisers Edge and Luminate Online
Updating biographical donor information
Mailing and emailing preference updates
Deceasing constituent records and coding appropriately
General gift adjustments (link gift to proposal, pledge, soft credit, etc.)
New Raisers Edge record creation
Monitor and field Gift Adjustment queue in Smartsheet, making necessary changes in Raisers Edge and notifying Accounting in a timely manner.
Processes complex gift transactions (onsite direct mail, offline credit card, electronic lockbox and high-volume event batches)
Responsible for performing quality control checks, review and update gift batches prior to committing batches into Raisers Edge
Process refunds and make necessary adjustments in Raisers Edge, Luminate Online and/or Blackbaud Merchant Services. Sending required correspondence to Accounting for adjustments in PeopleSoft.
Records, enters and edits constituent biographical information to insure accurate outputs for reporting, acknowledgements, recognition walls, etc.
Works in collaboration with Database Training & Documentation Coordinator on special projects as requested e.g.
Mass clean-up projects for Philanthropy departments (Speaker tracking, host committee and cultivation event attendee/registrant, Board of Trustee membership update, etc.)
Creation of clean-up queries or reports that uphold database hygiene standards (gender check, deceased/inactive check, etc.)
Offer collaborative input for continued development of GS data hygiene best practices and protocols.
Provides data management support by implementing procedures, and policies; completing projects in support of AS team
Assists and helps colleagues by answering and responding to inquiries in a timely manner.
Enhances AS team by accepting ownership of new projects and opportunities with enthusiasm, curiosity and the drive to look for efficiencies.
High School graduate or equivalent required; Bachelors degree preferred
Working knowledge of fundraising concepts, principles, procedures and techniques
Excellent editing, grammar and proofreading skills
Strong interpersonal and written communications skills to establish and maintain positive working relationships with various groups within Philanthropy
Ability to systematically understand workflow processes and suggest constructive improvements
Resourceful, self-directed and motivated with ability to handle multiple tasks and synthesize divergent information to improve processes
Ability to prioritize and adapt quickly to changing needs
