The Executive Director is responsible to the Board of Directors (“the Board”) of the Virginia Association of School Business Officials (VASBO). The Executive Director is responsible for the successful leadership and management of the organization according to the strategic direction set by the Board and with implementing the decisions of the Board. The Executive Director will meet with Officers of the Board regularly to keep them informed on operational issues and work with them to come up with strategic solutions to complex challenges. The Executive Director acts as a liaison between VASBO and a range of external stakeholders, develops and maintains relationships with other nonprofit leaders, works personally with leaders in the business and government world and cultivates long-term strategic partnerships or donor relationships to increase the organization's effectiveness serving unmet needs.
This is a contracted position for a minimum of three years, with the possibility of annual renewals thereafter. Currently, this position supports the organization on a part-time basis. Actual time varies throughout the fiscal year (July 1 to June 30) depending on activities of the Organization. The Board encourages submittal of both part-time and full-time application packages. Based on application packages submitted for consideration, the Board will establish interview times for Sunday, January 5, 2020, in Richmond, Virginia or the Richmond metropolitan area. Pending completion of interviews, evaluation of value-added proposals and concepts received from respondents, the Board may enter into negotiations for part-time or full-time support. Pending successful negotiations, the Board will approve contract provisions resulting from successful negotiations to commence July 1, 2020. This roll is expected to fulfill vital activities outside of and after standard business hours. Initial screening of candidate application materials will commence November 1, 2109. Responsibilities of the Executive Director
At the direction of the Board, serves as the statewide and national contact person VASBO. Actively seeks to increase visibility, stature, and the reputation of VASBO.
Oversee day-to-day operations of VASBO under the direction of the Board, through the President.
Supports VASBO relationships with other organizations, including the Virginia Department of Education (VDOE), Association of School Business Officials, International (ASBO) and the Virginia Association of School Superintendents (VASS).
Serve as Board's contact person for members or vendors who have inquiries or requests.
Coordinate activities of VASBO standing committees.
Serve as the corresponding officer for the Board.
Attend the ASBO Annual Convention & Expo, with registration and travel costs paid by VASBO.
Administrative and Personnel:
Communicate in a timely, efficient, and effective manner on all matters of concern.
Provide leadership, guidance, and direction to the Board
Work with the President and Officers to develop agendas for Board meetings and other organization sponsored events.
Attend and coordinate logistical arrangements for all Board and management team meetings.
Coordinate with the Board to ensure that appropriate tasks and jobs are completed within the guidelines established by the Board.
Provide information and support regarding VASBO business affairs to the Membership on a regular basis via appropriate electronic methods and other communication media. Provide VASBO promotional materials to be distributed in appropriate publications.
Review, prior to production, all Association publications, and items containing or displaying the VASBO name and/or official VASBO logo, to ensure compliance with Board expectations of continuity, identity, content components, and design.
Coordinate and facilitate mass mailings to the membership including oversight and editing of the VASBO newsletter.
Manage all membership records, membership renewals, and membership drives.
Responsible for maintaining the official VASBO mailing list(s), records, databases, and website. Review, record, and file all records, minutes, agendas and other related information.
Ensure that each committee is active and functions as defined. Serve as a non-voting member of all committees and attend all meetings.
Take a lead role in the development of VASBO professional development activities offered to the membership.
Provide administrative oversight for all Board initiatives and sanctioned programs.
Supervise, under the direction of the Board, all paid and contract workers except where otherwise specified Contracts, under the direction of the Board, all sub-contractors and other contract work for hire.
Secure minutes and maintain historical files of all VASBO activities, including membership (e.g. Presidential History).
Support the Board in all areas pertaining to operations, membership, publications, the annual meeting, and elections. Solicit Board’s advice and consent on matters outside those specifically mentioned herein as related to the corporate business within the scope of VASBO.
In coordination with the Vice-President, prepare the annual time schedule for Association activities.
Perform other duties as assigned by the President and Board.
Obtain bids and oversee contract negotiations for meeting venues.
Coordinate with the prior year’s recipient(s) of the VASBO Cardinal Award (and the ASBO Eagle and Pinnacle Awards, if applicable) attendance at the SASBO Annual Conference with registration and travel costs paid by VASBO.
Be proactive in website updates and ensuring the most current conference information is available by working with the Technology Committee.
Ensure that all statutory laws, administrative rules and VASBO Bylaws and Policy Manual are followed.
Coordinate and facilitate the payment of the organization's finances, including budget, income and expenses, with the Treasurer and President.
Develop the recommended annual budget document for presentation to the Board for approval, with the Treasurer, Vice-President and President. Oversee spending activities for budget consistency.
Review and make recommendations to the Board regarding financial reports provided by the Treasurer.
Develop all required State Corporation Commission Annual Reports.
Oversee services provided by all employees and sub-contractors and coordinate payment for these services by the Treasurer and President.
An annual evaluation shall be conducted during the summer planning meeting by the President with Executive Team input. Any adjustments to compensation are contingent upon a satisfactory evaluation.
Pursuant to the results of the evaluation, the Executive Team will, at its organizational meeting in June/July of each year, approve and adopt the prescribed job description of the “VASBO Executive Director” for the year then beginning.
Bachelor's degree in Finance, Accounting, Business Administration or a related field.
Experience with public school system administration and operations.
Experience in Association operations.
Certified Association Executive (CAE), preferred
If retired, held a valid SFO, CPFO or similar certification at retirement.
