ADMINISTRATIVE ASSISTANT 2 , Institute for Medical Engineering and Science (IMES) , to provide diverse, comprehensive administrative support to the headquarters' leadership team. Will work closely with the senior administrative assistant and participate in lab meetings and events; gather information and submit requests for visiting and postdoctoral appointments; assist with department onboarding; assist with preparing/organizing course materials; monitor supplies/equipment; process journal vouchers, requisitions, purchase orders, requests for payment, invoices, and travel vouchers; monitor/reconcile accounting statements; assist with monitoring and reconciling research and discretionary accounts; schedule appointments/meetings; coordinate and staff a variety of events; arrange travel; coordinate logistics for conference attendance by staff and sponsor visits; provide administrative support for developing and coordinating philanthropic and industrial initiatives/partnerships; resolve problems in a thorough and timely manner, including basic computer problems; assist with overseeing office equipment maintenance and setting up and maintaining common areas; and perform other administrative, financial, and clerical duties. May back-up faculty administrative assistants.
Job Requirements REQUIRED : high school diploma; three years' administrative, office, or related experience; strong organizational, customer service, interpersonal, and oral and written communication skills; ability to balance priorities across simultaneous projects, work effectively with people at all levels, function independently and as part of a team, and resolve problems (including basic computer issues) in a thorough and timely manner; attention to detail; discretion and judgment with confidential issues; proficiency with MS Office; and ability to learn new software applications. Seek a proactive, self-motivated individual who is able to seek training and development opportunities to improve and update skills. MIT experience helpful. Bachelor's degree; experience in a university/nonprofit setting; and Adobe, Endnote, Stellar, SAP, and web design software experience preferred. Job #17970-5
