We are currently in search of an Executive Assistant for an Association
LOCATION: Chicago, IL (The Loop)
POSITION TITLE: Executive Assistant
DURATION: Temporary, on-going
HOURLY PAY: $18.00 - $20.00/hour
Is This Your Dream Job?Reporting directly to the Executive Vice President/CEO, the Executive Assistant provides administrative support within a dynamic, not-for-profit association that is mission and results driven. The Executive Assistant serves as the primary point of contact for internal and external contacts on all matters pertaining to the work of the EVP/CEO. The Executive Assistant also serves as a liaison to the Board of Directors and to senior staff; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
The Executive Assistant must exercise good judgment in a variety of situations, possess strong written and verbal communication skills as well as administrative and organizational skills, and maintain a realistic balance among multiple priorities. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant should be proactive, professional, mature and responsible, as well as maintain confidentiality. Knowledge and familiarity with the design industry is preferred.
Our Ideal Candidate:
Minimum five years’ work experience as a senior administrative assistant or executive administrative assistant
Excellent knowledge of MS Office
Exemplary planning and time management skills
Ability to multitask and prioritize daily workload
High level of verbal and written communications skills and attention to details
Discretion and confidentiality
Strong interpersonal and customer service skills
Working knowledge of office equipment, such as printers and fax machines
Additional qualification as personal assistant would be considered an advantage
How You Will Spend Your Day:
Manage EVP/CEO’s demanding calendar of travel, meetings, events, speaking engagements and industry commitments
Book detailed travel plans; create itineraries and agendas
Communicate directly on behalf of the EVP/CEO with staff, board members, association and industry members, media and others, on matters related to EVP/CEO's responsibilities, including those of a sensitive or confidential nature, and determine appropriate course of action, referral and response
Compose and prepare correspondence, including letters, emails, personal correspondence and other materials
Maintain consistent communication with the EVP/CEO regarding upcoming commitments, industry responsibilities and internal departments
Prepare and complete expense reports; invoice outside organizations for expenses related to EVP/CEO’s event appearances
Serve as the EVP/CEO’s administrative liaison to an International Board of Directors
Assist Board Members with travel and lodging arrangements, and meal planning as needed
Record accurate Board meeting minutes and provide minutes to Board and EVP/CEO in timely manner
Participate as an adjunct member of the Staff Executive Team; demonstrate leadership to maintain credibility, trust and support with senior management staff
