General Summary/Purpose: The Recruitment Coordinator will focus on identifying, supporting and fostering the enrollment of new students who will benefit from CTY’s Summer, Online and Family Academic program offerings. A successful Recruiter will accomplish this by measuring the impact of recruitment methodology, leveraging data to determine geographical focus, and building strong relationships with new and existing partners while maintaining compliance requirements. The role requires an ability to speak to external trends and factors affecting recruitment to inform internal decisions. Diligence in following up with schools and families, and tracking those activities systemically, is essential to the role.
Independently manage an established geographic territory, including all recruiting and conversion activities.
Recruit program applicants matching organizational fit, and qualifying standards.
Provide proactive program advising and guidance, to potential and current program participants on process and available opportunities utilizing specific knowledge gained of those offerings.
Manage and conduct calling campaigns to parents of identified students.
Build, maintain, and strengthen a support network of internal and external partners to assist in meeting assigned recruitment goals.
Meet with school counselors and administrators to promote CTY Summer, Online and Family Academic programs within an assigned territory and as required to assist other recruiters.
Research and resolve program enrollment challenges for parents, students, and school administrators by working both independently and with internal content matter experts utilizing specific knowledge gained of program eligibility, registration criteria, financial aid information, and deadlines.
Serve as the first line of contact for incoming calls, voice mail, email, and written inquiries from parents, school counselors, GT coordinators, and outside partners to provide information on eligibility requirements, policies, procedures, and application status.
Update all recruitment and prospect rosters as necessary, including working to maximize roster usage for school testing and presentation event.
Monitor and report conversion rate for regions and provide analysis using market data and industry knowledge.
Analyze trends in recruitment programs to inform strategies for program growth.
Implement outgoing communications related to the application and enrollment process, as outlined by the Assistant Director and Director.
Utilize information collection platforms to gather leads during information sessions and workshops.
Create, package, monitor, and distribute resource materials for student recruitment activities.
Update the customer relations management (CRM) system and database when communications are sent, including the organization of communications campaign implemented during key recruitment efforts.
Coordinate travel to facilitate school visits, presentations, and targeted events and fairs; administer testing sessions, where applicable, for school, district, and community partners.
Ensure information sharing is done within accordance to FERPA and organizational policy, and done so only when covered by completed authorization and consent documentation.
Ensure that responsibilities are performed in alignment with CTY mission statement and current organizational objectives.
Remain knowledgeable, current, and responsive to changes in office protocol and procedure.
Conducts special projects and other duties as assigned.

Bachelor's degree (from a regionally accredited college or university) required.
Three years of related experience (admissions, community development).
Experience with student information systems, customer/constituent relationship management systems, and presentation/meeting platforms.
Excellent communication skills, including demonstrated skill in oral and written expression of information, ideas, and policies with ability to inspire an audience to action.
Demonstrated public speaking skills to present CTY at information sessions and open houses.
Demonstrate thorough understanding of audience needs and motivators.
Valid driver’s license and willingness to travel –personal transportation is required.
Experience with programs specifically for academically talented students a plus.
Required Special Skills and Knowledge:
Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook (email, calendar, and contacts).
Ability to use appropriate systems to provide analysis and metrics related to enrollment.
Must be able to build and maintain the trust and confidence of school administration personnel, parents, students, and other constituents.
A collegial attitude, high energy, and a commitment to helping advanced learners achieve their full potential are essential.
Able to work with diverse populations and has a proactive customer service orientation that anticipates customer needs.
Physical Requirements for the Job:
Ability to sit in a normal seated position for extended periods of time, and ability to stand for extended periods of time during presentations and events.
Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
The incumbent will be required to communicate regularly via telephone and face to face with internal and external customers and must be able to exchange accurate and timely information in these settings.
Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.
Incumbent in this position needs to move about inside the office, and between buildings and campuses.
Position frequently carries testing and marketing materials to outside presentations. Incumbent must be able to push/pull/lift items weighing up to 25 pounds across campus, in/out of vehicles.
Requires some evening coverage, occasional weekends, as well as flexible scheduling during peak recruitment times.
Travel in and around assigned region is required. Access to personal transportation is required.
