The Administrative Assistant is responsible for supporting day-to-day operations within TBA Services Company (TBASCO) - a subsidiary of the Texas Bankers Association. This position supports the sales and logistics process for event sponsorships, exhibits, magazine advertisements, associate memberships and the Thumbprint program. This position also supports the President of TBASCO with publication and marketing projects to support our Endorsed partners, TBASCO Board meetings and other duties as assigned.
Annual Convention - Support annual convention planning and implementation by assisting with development of exhibit and sponsorship prospectus, sale of booths and sponsorships, invoicing, registrations, communications to vendors, onsite implementation and facilitation of exhibit hall and sponsorship fulfillment. Other convention duties as assigned.
Conferences - Assist with development of annual Conference Sponsorship Guide, support conference planning and implementation, as well as onsite facilitation and sponsor fulfillment. Other conference duties as assigned
Magazine Advertising - Assists with magazine advertisement sales as directed by Director of Partner and Vendor Relations.
Associate Members - Prospects for new associate members by responding to inquiries and contacting prospects as suggested by TBA management and staff. Assists with application process for new associate members and management of relationships with current associate members via email, phone, and meetings.
Endorsements - Provides support with fulfillment of endorsed marketing entitlements to partners including compiling monthly newsletter, specific marketing projects, managing partner content on TBA/TBASCO website, etc.
TBASCO Board of Directors -Assists with management of TBASCO Board of Directors by updating and uploading content for meetings, facilitating board room set-up and meals, communicating with board members, attending all meetings and maintaining minutes of meetings, etc.
College degree preferred but not required
At least two years of relevant experience with degree; four years of relevant experience if no degree
Strong administrative and technical/computer skills
Microsoft Office 10 proficiency required
Extremely detail-oriented; ability and desire to produce consistently error-free work
Ability to perform well under pressure
Ability to be flexible and to handle several tasks/projects/ideas at the same time while maintaining concentration necessary to compete each task successfully with minimal supervision
Strong organizational, interpersonal and customer service skills
Strong oral and written communication skills
Knowledge of iMIS database a plus
