Plans, coordinates and administers local, regional and state workshops, conferences and networking events conducted by the association throughout Texas. Manages sponsorship and exhibitor program.
Reports to: Executive Director
Manages logistics and analytics for all conferences, board meetings, workshops and other programs, working with hotel staff, vendors/service providers, and other staff as appropriate.
Reviews contracts and develops RFPs for meeting vendors.
Manages all aspects of speaker relations, which includes advance and post-event communications; contracts; travel/housing arrangements; speaker AV requests; and collecting speaker presentations, bios, photos, and information for printed material and website postings.
Works with other staff and committee members to ensure accuracy of registration forms, sponsorship information, marketing materials, and conference website.
Manages shipments for all events, meetings, and conferences, including working with shipping vendors; generating shipping manifest; overseeing shipment packing and unpacking; and ensuring delivery to show site and return delivery.
Manages onsite housing assignments for VIPs, staff, and vendors utilizing staff-rate and complimentary rooms to maximize the benefit to the association.
Responsible for tracking room pick-up and works with hotels to determine proper strategies for room blocks and attrition.
Organizes and manages pre-con meetings with appropriate vendors in order to manage and oversee onsite vendor staff and duties to ensure smooth facilitation of all events.
Performs departmental administrative and clerical duties, including but not limited to managing the meeting expense budget and accounts by tracking and reconciling all invoices; monitoring bills and bills processing; and assisting in the development of project timelines.
Must be available to travel monthly to attend meetings, conventions, and other events.
Availability to work some evenings and weekends.
Helps organize communications to members via mailings, electronic communication, website, and social media vehicles.
Regular participation in professional development and continuing education activities as assigned or approved.
Must have experience working with and motivating committee member volunteers. Excellent computer and oral/written communication skills necessary, including proficiency in Microsoft Office (Word, Excel, and PowerPoint) and social media. Must be detail-oriented, organized and possess superior time-management, customer-service, and problem-solving skills.
Must have a minimum of five years of association experience including event planning, sponsorship development, and committee support. Bachelor’s degree required.
