The Family Van, a community program of Harvard Medical School, provides free, mobile, health care, education, and referrals to health and social services. Founded in 1992, The Family Van is a trusted source of preventive health care and information in underserved Boston neighborhoods. Through an engaging and highly-selective volunteer program, The Family Van has trained more than 600 students and community members to deliver culturally competent, compassionate care. Many former volunteers have gone on to become health care professionals, public health leaders, and advocates for health and human rights. In addition to serving local communities, The Family Van also operates Mobile Health Map, a network of more than 800 mobile clinics across the United States, helping then measure and communicate their impact.
Reporting to the Executive Director, the Staff Assistant helps ensure the smooth and efficient operations of The Family Van by providing administrative support to the team. Duties include maintaining multiple databases, organizing meetings, and representing the organization on the phone, via email, and in person, The Staff Assistant will also help with seasonal or special projects as needed, such as preparing volunteer orientation materials or preparing large mailings. The staff assistant will continuously evaluate administrative processes, make recommendations to improve efficiency, and implement changes. While most of their time will be spent in the office, the Staff Assistant plays an important role in supporting operations on the Van. This may include ordering supplies for the Van, obtaining necessary parking permits, and communicating with staff, volunteers, and clients about changes to the Van's schedule. As a mostly paperless office, the Staff Assistant will ensure that electronic files are well-organized, databases are accurate, and the organization's digital presence (website, social media, etc.) is up to date.
This is a term position through June 30, 2020, with the possibility of renewal.

Three or more years of related experience in an administrative and/or professional setting. Education beyond high school may count toward experience.
Familiarity with Microsoft Outlook, Word, Excel, and Powerpoint. Excellent interpersonal and customer service skills. Strong written (especially email) communication skills. Ability to manage multiple, competing priorities in a dynamic environment. Experience maintaining databases. Experience generating reports and presenting data. Experience working for a nonprofit organization.
