The McCourt School of Public Policy at Georgetown University is a top-ranked public policy school located in the center of the policy world in Washington, D.C. Our mission is to teach our students to help design, analyze, and implement smart policies and put them into practice in the public, private, and nonprofit sectors, in the U.S. and around the world. The McCourt School flagship degree is the Master in Public Policy. McCourt also offers a Master in International Development Policy, a Master of Science in Data Science for Public Policy, a Master in Policy Management, an Executive Master in Policy Leadership, as well as other dual degree and executive programs.
The Finance Associate serves as a resource to the McCourt School regarding financial policies and procedures, handling student hiring, timekeeping, purchasing, and accounts payable matters. S/he provides operational and financial support by serving in the GMS Financials roles of Financial Reviewer, Requisitioner, Journal Preparer, and Cost Center Buyer for the McCourt School. Reporting to the Associate Director of Financial Services and working closely with the Senior Associate Dean for Finance and Administration, the Finance Associate is a member of the Dean's Office's financial team and has additional duties that include but are not limited to:
Finance Business Process Initiator and Reviewer
Provides accurate data entry, and/or review of the following financial transactions: Requisitions, Purchase Orders, Expense Reports, Miscellaneous Supplier Invoice Requests, ProCard allocations, Accounting Journals, Revenue Generating Agreements, Contracts and check/cash deposits.
Analyzes ProCard reports to monitor transactions and ensures correct reconciliation.
Reviews financial documents in accordance with Main Campus and University policies and procedures, ensuring that transactions entered or reviewed include supporting documentation that accurately and clearly demonstrate support for the financial transaction.
Prepares and uploads JVs, payroll JVs/GPFs, cost transfers, and similar transactions.
Liaises with department stakeholders to assist in the completion and submission of supplier contracts.
Assists the Associate Director of Financial Services with fiscal close tasks.
Serves as primary administrative contact with Purchasing, Accounts Payable, and Payroll offices.
Attends all mandatory GMS training sessions and performs at a high level within the Workday system.
Works with the Associate Director of Financial Services to ensure that all McCourt School financial documentation is accurate, organized, and processed timely and within University and auditing guidelines.
Keys in appointment information for all RA/TA hires to GMS and communicates with Student Employment Office (SEO) regarding all GA appointments and appointment paperwork.
Coordinates the on-boarding process of all RAs and GAs including distributing appropriate information regarding I-9, timesheets, orientations and University contacts.
Sends official appointment letters under the Assistant Dean of Academic Affairs signature.
Supports the Associate Director of Financial Services with the staff hiring process.
Creates and maintains electronic copies of all files and forms.
Assists the Associate Director of Financial Services with the maintenance of the Finance Office website, including content creation and editing.
Bachelor's Degree required
Minimum of 2-4 years relevant work experience
Highly skilled with MS Office programs such as Word, Excel, and PowerPoint
Outstanding communication and interpersonal skills
Strong critical thinking, analytical and problem solving skills
Ability to meet deadlines and complete multiple tasks while responding to multiple priorities
Proven ability to work with efficiency and flexibility
Business courses or accounting experience preferred
Experience in a college or university setting is a plus
