The Director of Donor & Affiliate Relations will lead a team with these four primary responsibilities:
Affiliate Relations and Clinical Professorships: Manage fundraising revenue through clinical professorships with HMS's affiliated hospitals, which has ranged from $4.6 million to $72.8 million over the last six fiscal years. Manage broader cross-institutional relations by serving as a proactive and visible lead HMS representative for the hospitals, charged with managing numerous requests throughout the year ranging from amendments to existing gift terms to tracking all clinical professorships and incumbent data. In addition, establish strong, trusting, partnerships with the faculty affairs and finance offices at HMS, and with colleagues in the Harvard University Development Office. Write speaking points/briefings for the dean of HMS, who presides over clinical professorship celebrations. Partner with Special Events team on professorship and donor stewardship celebrations. Serve as the lead conduit between the hospitals and Faculty Affairs on new and amended professorships, nominations progress, and inquiries from the affiliates.
Management, Vision, and Leadership: Manage a team of three full-time and one half-time employee (directly supervising at least three), setting expectations, monitoring and evaluating performance, giving direct and continual feedback and support, and encouraging professional development. Assess the workload and make changes to the organizational structure of the team when needed to ensure success toward meeting short- and long-term goals and objectives. Develop back-up plans to ensure continuity of work during unanticipated work surges and staff absences. Ensure appropriate systems are in place to support efficient workflow and data tracking. Establish annual goals, objectives, and budgets as part of the fiscal year planning and mid-year review process. Serve as a member of the Office Managers Group, including giving biannual presentations on team goals and progress.
Reporting to and Recognition for HMS's Top Donors: Create/oversee a system for monitoring and stewarding more than 300 reportable funds. Work with colleagues across the School and University—including finance, sponsored programs, financial aid, dean's office, and University Development Office—to relay and collect information vital to stewardship reporting. Write donor newsletter stories, senior-level stewardship reports—including bios, financial and gift activity summaries, and updates on complex biomedical research—for HMS's top donors. Collaborate with the Alumni Engagement and Operations teams on the acknowledgment letter content and process. Oversee/guide the donor recognition matrix, which provides guidance on appropriate donor recognition at various major gift levels. Provide expertise and recommendations on new and existing major donor recognition societies. Oversee signage for named spaces and create unique, personally meaningful gifts to steward top donors.
Gift Opportunities, Administration, and Policy: Working closely with the Principal and Major Gifts and Grants team, oversee the HMS fund glossary, which details all available giving and naming opportunities. Draft new gift term agreements and amendments adhering to Harvard University templates and University and School guidelines. Build relationships and partner closely with the HMS Office of Finance and Harvard Alumni Development Services on terms tracking and approval, including negotiating rush reviews when necessary. Serve as a member of the HMS Gift Acceptance Committee. Provide policy guidance to HMS faculty and staff. Oversee/track professorships, incumbent information, and allocation data. Educate colleagues about terms guidelines, approval processes, and expected timelines. Attend and help lead gift policy meetings

Bachelor's degree required. 8 or more years of related experience, preferably with comprehensive skills in donor relations, engagement, and/or communications in an academic, medical, or scientific research environment. Management experience required.
Strong grasp of (or affinity for learning) scientific content. Sophisticated relationship-management skills. Proven track record of successfully leading teams, including encouraging, managing, and motivating staff. Passion for and experience leading donor relations and engagement efforts, as well as understanding the fundraising functions within a nonprofit. A discerning leader who is not afraid to make decisions and stand by them. Experienced writer with keen attention to detail. Superior interpersonal and written communication skills; communicates openly and honestly; exercises tact, diplomacy, patience, and discretion.
