The Texas Department of Public Safety Officers Association (DPSOA) is seeking a responsible, friendly, and outgoing individual to fill an Administrative Assistant/Membership Coordinator position. The job requires a friendly outgoing personality, organizational skills, excellent attention to detail, and the ability to effectively work as a team player in a small staff association. The ideal candidate must be able to professionally communicate with our board, members, vendors, and the general public. Verbal and written communication skills are a must. Competence in Quickbooks and Microsoft Office (especially Word and Excel) are important, and familiarity with social media is a plus.
Primary responsibilities will include membership database maintenance and updating; assisting with event planning and registrations; answering the phone and directing the call when necessary; maintaining relationships with vendors; and receiving, logging, and depositing checks.
A Bachelor’s degree or equivalent work experience, and at least 2-3 years of administrative experience (preferably in an association setting) is preferred.
Below are some of the key duties of the job:
Respond to member inquiries by phone, email or letter in a friendly, professional manner.
Coordinate a recruiting dinner meeting for approximately two new recruit classes per year.
Enter new member application information into our association management system, and update information as it becomes available.
Receive, log, and deposit donations to the DPSOA-PAC and donations from supporters of our events.
Answer the phones when available, and respond appropriately to queries.
Provides back up store sales assistance and customer service.
Work with vendors of our store to ensure a fair price on products and that orders are fulfilled properly and in a timely manner.
Assist Board Members in booking hotel and travel needs.
Assists with meetings and events planning; orders prepares materials as needed.
Provide some proofing oversight for memos and correspondence.
Enter bills into Quickbooks to ensure prompt and proper payment.
Assists with 2-3 mailings per year, as well as email communications with our members.
Other duties as assigned.
Bachelor's Degree preferred
2+ Years administrative work experience
Proficiency in Microsoft Office programs, and Quickbooks
Strong organizational and communications skills
Friendly, outgoing personality
