JOB SUMMARY: The Resource Development & Database Coordinator is a key member of Navy Pier’s External Affairs team who will provide overall support to the Resource Development department (donor communications, fundraising, special events and Associate Board) and having key responsibility for Raiser’s Edge database administration. Under the supervision of the Special Events Manager, the position will support the administrative needs of the department and is responsible for daily gift processing, maintaining donor records, and producing fundraising reports. The candidate must have prior experience with Raiser’s Edge, be a good communicator, and able to interact with a variety of people. This person must uphold the mission and organizational priorities of Navy Pier.
KEY DUTIES AND RESPONSIBILITIES:
Resource Development Department Support Communicate with donors, vendors, and staff (email, phone, and in-person) as needed to support the department. Assist in the preparation and coordination of Navy Pier materials (proposals, letters, and presentations) for donors, mailings, events and meetings. Maintain and assemble stewardship gifts and Friend of the Pier donor benefits. Assist in the creation and maintenance of guest lists, registration materials and other duties as assigned for special events. Support the Navy Pier Associate Board meetings, events and special projects. Perform other duties as assigned, including attending special events, volunteer days, and other team projects. Support the mission of Navy Pier and uphold organizational priorities as stated. Make independent decisions in the absence of supervisor availability.
Administrative Support Maintain foundation, corporation and individual donor database records. Scheduling of internal and external meetings. Maintain letterhead and other printed materials in coordination with the in-house Marketing Manager and external printers. Manage the Chief External Affairs and Strategy Officer’s professional social media (LinkedIn) for professional networks and promotion of Navy Pier. Maintain department expense and internal reports.
Gift Processing and Reporting Serve as Raiser’s Edge system administrator which includes maintaining donor information, training Raiser’s Edge end-users, and assisting staff with constructing queries, exports and reports. Oversee gift processing which entails entering gifts, reconciling gift information with finance department, and executing gift acknowledgements in a timely manner. Maintain Raiser’s Edge policies and procedures, provide support and training related to the use of the database. Respond to data requests such as mailing lists and prospect lists quickly and accurately. Manage the monthly and yearly reconciliation process between Resource Development’s Raiser’s Edge database and Finance’s accounting database. Serve as the liaison for database issues including installation, upgrades and patches, special projects or performance issues. Remain familiar with key software packages for the database, prospect research, and online giving and interact with vendors to provide support for the Resource Development staff.

Requires the ability to work extended hours during a normal work week. Must be able to work nights, weekends and holidays as necessary and required. Work is performed in a normal office environment but may be required to engage current and prospective donors at major Navy Pier events on- and off-site.

Education: • Bachelor's degree in Information Technology, Business Administration, Communications, Nonprofit Management or related field or an equivalent combination of education and experience is required.
Work Experience: Two to four years in related field, data processing, gift analysis or administration preferably in a non-profit environment required. Competency with finance / accounting software and databases required. Competency with Blackbaud's Raiser’s Edge and a Blackbaud Professional Certification preferred. Knowledge of computer-based research methods and database management essential. Proficient in Microsoft Office suite of products in Windows environment required.
