The Donor Relations Coordinator is the cornerstone of our excellent donor stewardship and an important member of a successful Advancement Team. The position is responsible for maintaining a clean and effective donor database, processing donations, and ensuring donors receive the highest level of stewardship possible, including as appropriate through phone and email contact. As a Donor Relations Coordinator, you will be driving this mission within the agency's various programs in the core areas of early learning, services for older adults and financial empowerment. The position also supports the Advancement Team with events, writing projects, team initiatives, and support for the Vice President of Advancement, as needed.
The ideal candidate will have strong analytic, writing, and communication skills. The position requires a results-oriented team player, and the ability to think on one's feet.
JOB CLASSIFICATION: Non-Exempt, Full-Time
REPORTS TO: Annual Giving and Data Analytics Manager

DUTIES & RESPONSIBILITIES:
Database Management 50% Takes lead on all augmentation / clean-up of existing data sources and ensures constituent data is fresh, current and as enhanced as possible to ensure the most effective use of all the information available. Takes pride in maintaining a clean and effective database. Processes all donations, recognizing the donor's relationship to the organization when preparing acknowledgment letters. Notifies appropriate staff to ensure proper stewardship and recognition. Enters data in Salsa and generates donor acknowledgement letters for all contributions, maintaining gift coding system. Maintains strict 24-48-hour turnaround acknowledgment timeframe. Ensures memorial and tribute gifts are acknowledged appropriately. Keeps family members apprised of memorial gift details. Immediately notifies people in whose tribute a gift was made (birthday, holiday, special occasion).
Generates monthly tracking reports and dashboard. Reconciles gifts with Finance Department records. Builds queries for donor lists and other Salsa CRM reports as requested for events, mailings, and other needs.
Donor Stewardship and Event Support 35% Tracks and manages individual and corporate donor benefit program and ensures all benefits are fulfilled. Works with Marketing Manager to collect donor and participant stories for use in donor stewardship (acknowledgment letters, personal communication, etc). Writes compelling acknowledgment letters, customized to the donor's relationship with Peninsula Family Service. Communicates with donors and community partners to thank them for their support and investment in Peninsula Family Service. Coordinates stewardship events, including organizing logistics, sending invitations, and managing registration.
Administrative 10% Assists VP with special projects such as creating board and donor meeting packets, etc. Prepares for team meetings and activities
NextGen Advisory Group 5% This position will aid in developing our NextGen advisory group, a new initiative of the Advancement Team.
General: Takes minutes at Advancement Committee meetings. Manages and participates in additional special projects as assigned. Requires some evening and weekend hours a few times a year.
PERSONAL: Obtains fingerprint clearance before first day of employment. Verification to legally work in the US. Must possess a valid driver's license and clear driving record as defined by insurer.
QUALIFICATIONS: You have 2-3 years experience in a nonprofit environment. You have 1-2 years advanced experience with Salsa CRM (or similar donor CRM), including data entry, query, and report building. You can use formulas and tables in Microsoft Excel. You can craft compelling donor-centric acknowledgments and share participant stories in a way that is not exploitative. You are agile: You can prioritize and multi-task, bounce between multiple projects, and use sound judgment while problem solving and making decisions. When you need help, you ask for it. You have a high attention to detail and practice good follow-through. You have an appreciation for accurate and thorough utilization of a donor database, realizing the impact on donor relationships of top-notch data. You are comfortable working as part of a team.
