This position reports directly to the Foundation's Vice President
Under the direction of the Vice President (VP) of the Foundation, this position provides administrative support for the VP, as well as the department, as required. The Administrative Assistant deals with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the Medical Center. Therefore, this position requires a well-spoken, organized individual who enjoys working in a busy, collegial environment.
Major Responsibilities and Duties:
Answer telephone for VP, and Foundation as needed.
Open and screen incoming mail for the VP.
Maintain correspondence, project specific, and confidential files as directed by the VP.
Schedule appointments for the VP.
Prepares routine correspondence, reports, and other documents, as directed by the VP.
Maintain a follow-up system for appointments, telephone calls, and correspondence for the Foundation's VP.
Prepare bank deposits for all checks and cash received; prepare gift logs for Central Gift Processing/Data Team.
Support Director of Development (DOD) in preparation of all meeting materials.
Support VP and DOD in day-to-day work and special projects.
Work with Finance team as needed to prepare new funds, facilitate fund transfer with hospital.
Provide administrative and logistical support for all events and Employee Campaign.
Other administrative tasks and additional assignments as needed, including but not limited to facilities issues, IT requests, maintaining office supply inventory, process invoices, payroll data entry and expense reimbursement.
The Ideal Candidate
In addition to the specific duties and responsibilities described above, the ideal candidate should meet the following criteria:
Minimum of 2-3 years experience as an administrative assistant in a nonprofit or corporate setting.
Excellent oral communication, interpersonal and demonstrated writing skills.
Familiarity with Raiser's Edge a plus.
Ability to work independently and creatively, while functioning as part of a team.
Able to work collaboratively with the Foundation's team and other personnel.
Have a strong work ethic; be self-motivated, conscientious and results-oriented.
Be trustworthy, dependable, exhibit sound judgment, and abide by strict confidentiality guidelines.
Able to work under pressure and to work flexible hours when necessary.
