DUTIES AND RESPONSIBILITIES: Responsible for all corporate and financial operations of the Virginia State University (VSU) Foundation. Manage complete accounting, budgeting and reporting services for VSU Foundation in accordance with required industry accounting practices for nonprofit organizations and related governmental industry pronouncements. Coordinate, prepare and oversee the preparation of the quarterly and annual financial reports and external audit. Maintain and update the Foundationâs chart of accounts, general and subsidiary ledgers, and required reconciliations for all transactions that flow through the Universityâs accounting system. Serve as liaison for the Foundationâs Board of Trustees through the Finance and Institutional Advancement Offices in the recording and oversight of the Foundationâs net assets, to include cash and investment performance managed by investment managers, unitization of earnings, endowments, disbursements, cash and non-cash contributions, reporting, and all nonprofit accounting practices for unrestricted, temporarily restricted, and permanently restricted assets. Develop procedures in accordance with daily responsibilities and Trustee policy decisions and official actions. Manage the Foundationâs general ledger; investments and cash flow. Maintain and track all funds provided to and expended from the VSU Foundation. Ensure that all transactions are recorded properly in the general ledger; prepare monthly reconciliations to accounting system for all transactions, prepare bank reconciliations between the accounting system and bank; process disbursements, cash receipts, journal entries and other accounting transactions for the Foundation in the accounting system in accordance with GAAP; ensure that appropriate internal controls are in place and are working to safeguard Foundation assets. Provide full reporting services for the VSU Foundation; prepare financial reports, annual financial statements, and the Board of Trustee reports. Maintain supporting documentation for sufficient audit trail; attend Trustee meetings as appropriate and prepare special analyses and reports as requested; prepare fluctuation analysis and other information and statistics for the University Financial Reporting Unit for the submission of the CAFR attachments. Coordinate the annual audit of the Foundations books by an independent accounting firm; ensure that statements are prepared in accordance with applicable accounting standards; assist with the preparation of responses to audit points and comments as necessary; and prepare ad hoc reports, and assist with special projects.
