Position Summary: Community Colleges for International Development (CCID) is a nonprofit organization currently hosted by Lone Star College. It is an international consortium of community colleges with over 140 member colleges world-wide. CCID believes community colleges need to be involved in international activities in order to produce a globally competent and competitive workforce. This is achieved by working collaboratively as a global community in developing cultural competencies and infusing a global perspective among students, faculty, curriculum, and leadership teams. The Specialist IV supports the CCID in day-to-day functioning by providing office support, program and administrative support, and by performing basic financial and bookkeeping activities. Primary duties include, but are not limited to, basic bookkeeping, receiving and processing cash payments, assisting with maintaining vendor relationships, monitoring budgets, and providing administrative and business-functions support. Implements established business procedures to help ensure compliance with local, state and federal regulations. May travel domestically and/or internationally approximately 5 percent of the time (or less) if needed.
Job Functions: 1. Completes basic- to moderate-level financial activities and maintains appropriate records, including but not limited to; bookkeeping and accounts payable and receivable, initial account reviews and reconciliations, providing assisting during financial audits, and compiling, monitoring, and maintaining CCID expenses and payroll records 2. Oversees procurement for CCID: performs review of potential vendors, purchases and maintains office supplies and subscriptions, receives items and documents/verifies payments, assists with establishing vendor contracts related to programs and conferences, i.e. hotels, transportation…etc. Reviews and monitors related expenses 3. Enhances program functions through support and flexibility. Reviews, revises and updates office procedures and practices as necessary to ensure efficient office workflow 4. Monitors CCID costs and budgets and assists with annual budget planning process and with future and current budget recommendations 5. Creates a variety of regular and ad-hoc reports, including but not limited to basic- to moderate-level financial reports for review by the Executive Director of CCID. Collects and compiles data from several sources of information and performs a variety of calculations 6. Assists with CCID-related business/administrative functions, including but not limited to; receiving membership and service payments from member colleges, communicating with members and clients to assure payments are sent in a timely manner, maintaining member databases, contributing to preparation of board meetings, assisting with a variety of research, and organizing and maintaining a variety of records and files. Coordinates with internal and external contacts around the world and at all levels to accomplish activities 7. Assists in organizing a variety of events, including but not limited to monitoring budgets, providing venue and vendor recommendations and communications, organizing catering and audiovisual services…etc. 8. Assists with ad-hoc projects as assigned; performs basic research, compiles information, and provides updates as needed to the Executive Director of CCID to assist with data-driven decision making 9. Responsible for other reasonable, related duties as assigned.
Required: High School diploma and at least 5 years of related work experience, or an equivalent combination of education and experience
