Coordinate the development, implementation, and evaluation of the Society’s activities and programs according to key association management principles and ethics to maintain a healthy and viable organization. Coordinate a wide variety of detailed and complex project management activities, which are dependent upon the Society’s initiatives and strategic plan. Serve as a liaison to committees as assigned.
Coordinate, implement and support membership activities.
Serve as the staff liaison to the Membership Committee and Mentorship Committee.
Collect, process and maintain membership applications and fees.
Maintain all membership records, statistical reports and history.
Develop, distribute and collect membership invoices; develop and implement retention strategies to improve retention rates.
Assist in the creation of relevant membership marketing communications for distribution through the Society’s communication vehicles, such as its website and newsletters.
Collect, process and maintain JPO subscription fees. Communicate with JPO staff to assure membership data is accurate.
Collect, process and maintain mentorship applications.
Work with leadership to implement committees’ deliverables on time and within budget. Schedule and participate in committee calls and meetings; assist with agenda development and draft committee minutes.
Coordinate all aspects of meeting registration for Society educational programming
Create, execute and process registration for courses and meetings.
Maintain meeting records, such as registrations, statistical reports and histories.
Coordinate and supervise on-site registration and temporary staff.
Create and provide meeting materials for the preliminary and final programs as well as the as the society website.
Oversee packing and unpacking of materials for meetings; lift and move boxes. Assist the meeting and education team with coordination of meeting shipment.
Coordinate logistical and operational elements of the POSNA Fellowship Match and POSNA Fellowship Accreditation Program.
Serves as the staff liaison to the Fellowship Training Committee.
Collect and process accreditation applications and payments.
Collect and maintain fellowship match documents and files.
Work with the San Francisco Match Program to ensure program data is accurate and timely.
Maintain fellowship program information for distribution through the Society’s communications vehicles, such as its web site and newsletters.
Maintain statistical reports and history.
Schedule and participate in committee conference calls and meetings; support the committee chair with agenda development; draft committee minutes; participant in and report on Board of Specialty Societies Fellowship Match Oversight Committee meetings and activities.
Work with leadership to implement committee’s deliverables on time and within budget.
Review and evaluate activities on a regular basis; ensure the committee is meeting objectives; provide guidance as necessary.
Conduct other duties as needed or assigned.
Answer and respond to society telephone calls
Monitor society email account; respond or forward to appropriate staff
Draft correspondence as necessary.
Prepare confidential and special reports as directed.
Establish and maintain files.
Develop timelines, procedures, and schedules for projects as assigned.
Provide administrative coordination as requested to facilitate department projects and activities.
Perform all other job-related duties as required or assigned.
Undergraduate degree or equivalent work experience.
Proficient in Microsoft Office.
Excellent member service mentality and delivery; effective verbal and written communications; strong organization and interpersonal skills. Ability to think proactively and creatively.
Must excel in a fast-paced, team-oriented environment. Cooperative, supportive, and “can do” attitude is crucial to success. This person must have integrity and credibility with leaders, members, vendors, and staff.
