We are looking for an Office Support Assistant to provide critical administrative support to our Program and Development teams. That’s where you come in. Together we will annually serve more than 11,000 girls, support more than 3,000 volunteers, and raise more than $1 million dollars to support programs in low-income communities. Working under the guidance of our Office Support Coordinator, you will have the opportunity to learn many aspects of programs and fundraising. The right candidate will be detail-oriented, excited to grow in a dynamic environment, and passionate about building the next generation of women.
Duties include but are not limited to:
Department Support (45%)
Monitor the Registration Help Line and process over the phone registrations
Organize and coordinate program and development department event-day materials such as iPads, petty cash, and advertising collateral for key events in partnership with finance and communications departments.
Coordinate the organization’s Matching Gifts program in partnership with Finance and Development.
Assemble 5K and sponsorship packets, both digital and physical, and maintain supplies of thank you cards and supplies.
Complete key department mailings including sending materials and supplies to sites, volunteers, donors, and athletes, and facilitating the mailing of individual volunteer appreciation initiatives and giving campaigns.
Maintain various inventories: healthy snacks gift cards, site flags and panels, credentials and lanyards, activity materials, incoming auction items, singlets and sportswear for charity athletes, fundraising prizes, and in-kind donations of food and beverage for events.
Support execution of 5K fundraising activities
Contribute in an administrative capacity by answering phones, attending staff meetings and department meetings, and other duties as assigned.
Data Management (45%)
Input data to Salesforce, Crowdrise, Raceplanner and/or any other current or future data system for donors, program participants and volunteers
Enter and maintain contact, insurance and contract information for vendors, donors, sponsors, and foundations.
Set up and monitor online registration pages and recruitment campaigns for program and 5K events, special events, 5K fundraising and giving platforms, manage guest lists and participant data and provide ongoing reports to key staff.
Generate and mail donor acknowledgment letters and tax receipts for donations in a timely manner.
Generate mailing lists and reports from databases as needed, including Give/Get Reports for governing board and associate board members, individual giving reports, and donor segmentation reports.
Outreach and Community (10%)
Represent GOTRC at expos, community events, and on 5K Day in support of our recruitment and outreach goals.
Provide any hospitality needs and coordinate supply load in and out.
Support in-store and other sponsor engagement events and volunteer days.
Bilingual in English and Spanish is required
1-2 years of previous work experience with nonprofits in program and/or fundraising support is desirable, but not required.
Computer competence, including but not limited to Microsoft Office and database software (SalesForce or similar database CRM experience is a plus.)

This position reports to the Office Support Coordinator. This position is full-time. Evening and weekend hours are required for some events. Vacation blackout periods may apply.
