Hanahau‘oli School seeks an organized, analytical, strategic and collaborative candidate to serve as the Director of Operations.
The Director of Operations will provide day-to-day oversight and direction for all aspects of the school’s non-academic daily operations including human resources, facilities oversight and strategic planning, risk management (safety and security, emergency preparedness, activity liability), health services, campus events, food services and information technology oversight.
The Director of Operations is a member of the administrative team - working closely with the Director of Finance and appropriate Board committees (i.e. Physical Plant, Personnel) and reports to and is evaluated by the Head of School. The Director of Operations supervises all facilities staff, including the physical plant manager, bus driver (part-time), and the IT Specialist (part-time).
Hanahau‘oli is an independent school with 210 students, Junior Kindergarten through 6th grade, with single classrooms for Junior Kindergarten and 6th grade, and multi-age learning spaces for K/1, 2/3 and 4/5. Specific responsibilities include, but are not limited to, the following:
Collaborates with all constituents (faculty, staff, parents via the parent organization) to support operations that are aligned with Hanahau‘oli’s mission and meet the school’s strategic objectives
Develops and implements Hanahau‘oli’s annual facilities budget with the support of the Director of Finance
Conducts regular review and inspection of systems and buildings, with the support of the Physical Plant Manager, to make certain that they remain in optimal working condition
Partners with the Director of Finance, the Head of School and the Physical Plant Manager to identify, prioritize, and manage major capital and operational projects related to the facilities master plan
Coordinates facilities usage and rental program
Issues Requests for Proposals, evaluating bids, selecting and managing relationships with vendors
Oversees risk management programs, including insurance renewals
Communicates, monitors, and ensures compliance with all codes, licensing and regulations governing the acquisition, use, construction, maintenance, and improvement of school sites and facilities and human resource and personnel matters
Leads the school’s crisis team
Manages the school’s transportation operations, including school bus maintenance and supervision of bus driver
Keeps the Board at large, Head of School and the Finance and Physical Plant Committee informed with accurate and timely information regarding all operations
Serves on committees and project teams to enhance school operations, such as system upgrades and conversions, accreditation, etc.
Fosters, maintains, and manages relationships with city officials and numerous outside vendors, with the support of the Physical Plant Manager
Collaborates with the Physical Plant Manager and facilities team, faculty, staff, and parents to execute campus-wide events
Oversees the human resource functions of the school
Oversees the human resources, facilities, and health and safety components of the after school care, after school enrichment, summer school, interim care, and morning care programs
Ensures ongoing enterprise information technology goals are aligned with institutional priorities and operating requirements, together with the Head of School and the Director of Finance
Oversees the technology infrastructure systems and programs (design, development, operation and support), with support of the IT Specialist
Supports the school and its leadership
Participates in the life of the school
Commits to car, recess, lunch and kitchen duties as assigned
Assists when additional support is needed for school events
Maintains a visible presence in all areas of the school
Keeps the Head of School informed on important matters
Maintains a high level of discretion and confidentiality around sensitive information
Performs other duties as assigned by the Head of School and/or Board of Trustees
Bachelor’s degree in engineering, architecture, facility management, business administration, construction management, or a related field strongly preferred; Master’s degree a plus.
A minimum of five years of experience in senior-level facilities management or operations positions within an educational institution or nonprofit organization
A track record of working effectively with multiple constituencies, such as faculty, administrators, volunteers, parents, students, board members, and contract workers
A history of establishing, implementing, and maintaining operational policies, procedures, controls, and standards
Skills and Knowledge
A broad and deep knowledge of facilities management, safety and security, and, ideally, food services, transportation, health services, and event management
An ability to devise, prioritize, execute, and achieve results in a complex institutional environment with multiple demands on time and attention
Excellent communication skills in writing, one-on-one, and in small and large groups
An ability to think strategically and develop strategic plans
Effective project management skills
