Position Description: The Staff Accountant provides support to and receives direction from the Director of Operations. Duties include account and general ledger reconciliations, accounts payable/receivable functions, general record keeping and filing and communicating with employees, clients and vendors. This position demands a commitment to exceptional performance as well as working successfully within a team environment.
Permanent (30 hours minimum), salaried, benefits-eligible, exempt status
Nonprofit-competitive compensation commensurate with experience and skill level
Monday through Friday, 10:00 a.m. to 4:00 p.m., 30 hours per week
Duties and Responsibilities:
Assists in the preparation of monthly and year-end financial statements in accordance with Generally Accepted Accounting Principles (GAAP)
Processes accounts payable transactions
In coordination with Human Resources ensures the reporting of monthly payroll
Processes monthly journal entries and standard recurring entries
Processes cash receipts; ensures appropriateness and accuracy of transactions
Generates monthly reconciliations, reviews, and analyzes account balances, transactions, and reports
Ensures accurate reports are provided to appropriate staff on a timely basis
Maintains fixed asset inventory system
Monitors adherence to established internal control structures
Collaborates with Division Directors to support in their understanding of financial systems.
Grant & Contract Administration:
Maintains tracking, recording, and filing system for all grants and contracts
Prepares grant reporting and cash requests/billing
Ensures fiscal transactions comply with applicable grant requirements and accounting standards
Maintains professional standards of confidentiality
Participates in professional development program
Pull reports as requested using CRM
Other duties as assigned
Qualifications, Knowledge & Skills:
Understanding and practical knowledge of standard accounting practices, reporting, and Generally Accepted Accounting Principles
Experienced user of QuickBooks accounting software required
Demonstrated commitment to accuracy and confidentiality
Proficiency in standard office suite applications; advanced knowledge of Excel and accounting software required
Ability to work independently as well as within a team
Ability to communicate effectively in both spoken and written English
Associates Degree in Accounting or related field plus 2 to 5 years of experience or equivalent combination of education and experience
Experience working in a nonprofit setting and with grants strongly preferred
Actively work with project teams, consultants, partners, funders and targeted participants to meet or exceed project goals
Suggest improvements to maintain high caliber programs, projects, outputs and outcomes
Detail Oriented. Deadlines, data collection, file maintenance and accuracy in customer service are an important part of this position.
Self-Directed and Self-Motivated. The ideal candidate will be able to work independently while still supporting the efforts of the team as a whole.
Focused on Improvement. The ideal candidate will contribute to ongoing efforts to streamline and improve accounting systems and processes.
Mission Driven. A strong familiarity with nonprofit accounting, business systems and stakeholders coupled with passion for our mission is a strongly preferred.
Skills & Experience:
Nonprofit Bookkeeping and/or Program Accounting experience; experience working with USDA-funded programming a plus
Keen interest in thriving in all aspects of job description and willingness to develop the skills, knowledge and abilities to continually improve performance
Solid working knowledge of QuickBooks, Google for Business Suite, Microsoft Office Suite, and CRM software
Stellar customer service and accounting skills
Able to shift gears smoothly and maintain momentum on multiple assignments
Self-directed and self-motivated team player
Initiative, integrity, organizational skill, attention to detail, time management and juggling multiple priorities with grace are critical to the success of this position.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, and filing cabinets.
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
