Reporting to the Director of Development Administration, and some supervision by the Director of Principal Gifts, the Development Coordinator is responsible for a variety of core development and administrative work within Development and External Relations. The primary role of this individual is to serve as the key anchor providing administrative support for the department which includes the Associate Dean for Development and External Relations, two frontline fundraisers, and the Director of Development Administration and the Harvard Divinity School Dean's development work. Key responsibilities include:
Assist in the preparation of briefings for donor prospect meetings; prepare presentations for meetings.
Coordinate the Dean's development travel and assist in the preparation of materials for all of the Dean's prospect donor meetings.
Maintain data entry in the Advance database, including summaries of faculty meetings with donors, major gift staff calls/visits, proposals, general correspondence and solicitations.
As the first point of contact for the Development Office, manage the front office reception and phone coverage.
Provide support including but not limited to calendar management, financial reimbursements, travel, drafting, editing, and proofreading miscellaneous written documents.
Run monthly reports on departmental expenditures and assist the Director of Development Administration with monitoring budgets for accuracy and communicating with vendors and the HDS Finance Office as needed.
Facilitate and coordinate administrative needs for the department such as ordering supplies, maintaining office equipment, collecting and distributing mail.
Assist the Director of Development Administration and frontline fundraisers with event planning including creating online registration forms, tracking event attendance, and preparing materials for events such as briefings and event materials.
Occasional evening and weekend work.

Three or more years of related administrative and/or development office experience required.
Ability to work occasional evenings and weekends.
Bachelor's degree preferred
Must have strong computer skills (Microsoft Office Suite).
Harvard or other academic or nonprofit experience strongly preferred, Development Office experience desirable.
Must be highly organized, detail oriented, and have the ability and maturity to exercise independent judgement, to work competently and efficiently in a multi-task environment.
Individual must be a team player, and a creative and independent worker.
An ability to handle confidential information with discretion and professionalism.
Must be reliable, dependable, prompt, and thorough.
Must have an even disposition and should be poised, remain calm under pressure, and exercise tact and good judgment.
Must be technically savvy, in addition to strong working knowledge of Microsoft Office applications, proficiency with Salesforce Cloud, and Adobe strongly preferred. Knowledge of BSR Advance helpful.
Good writing and excellent proofreading skills required.
Knowledge of social media, PhotoShop and HTML a plus.
