Performs Registrar duties as directed by the IBAT Management team, including all member follow up calls, registration confirmations, hotel reservations, and production of the meeting materials including nametags, handout production, sign-in sheet production, invoice follow up, and assistance in preparing boxes for meeting.
Updates records and enters registrations online and in iMIS database where appropriate.
Travels to selected programs to facilitate – handling registration on-site, introductions, evaluations, etc.
Manages CPE credits for educational programs and prepares certificates within one week of the events.
Assist with the coordination and publishing of directories and yearbooks.
Prepares Foundation donation thank you letters as needed and tracks donations in i
Cross-trained on all areas in Production to be able to fill in the event of absences, vacations, etc. with approval of supervisor.
Assists with receptionist’s telephone backup as needed with approval of supervisor.
Works with all other staff in completing high priority projects and any other “team” efforts as needed.
Excellent organizational skills and detail-oriented. A helpful and friendly demeanor is critical as this position is often is often the primary contact with members. Ability to multi-task, prioritize, and meet deadlines with minimal supervision. Ability to run work-related errands. Must be dependable and show initiative. Advanced level skills in Microsoft Word, Excel and Adobe Acrobat. Familiarity with databases and copying/printing equipment. Ability to lift/move up to 30-pound boxes (receiving/stocking supplies, packing for IBAT events, etc.). Teamwork is critical.
Relevant Experience: iMIS experience is preferred. Previous customer or member service experience preferred.
Travel: At short notice, successful candidate may occasional travel to cities across the state, at short notice, also be available for evening and weekend work.
