Reporting to the Director of Advancement, the Advancement Coordinator provides administrative support to the Director of Advancement. Additionally, the Advancement Coordinator will work with the Director in managing the Advancement office budget and will provide general office management support for all functions of the Advancement Office.
Departmental Support Responsibilities
Provide administrative support for the Director of Advancement, including calendar management, scheduling appointments, correspondence and reconciling expenses.
Manage the Advancement budget, including recording and balancing all itemized purchases, check requests, credit card purchases and payments.
Working with the Director of Communications, Events Coordinator and Major Gifts Manager, support the Worlds Unimagined Capital Campaign by facilitating the creation, production and/or acquisition of campaign collateral materials, including stationery and donor gifts.
Provide administrative support to advancement team as needed, including oversight of departmental file systems, Google Drive and the Advancement calendar.
During spring event season, assist with auction/raffle winner item redemption and other general support.
Provide event support as needed, i.e. assist with check-in at events (possible evenings or weekends) and event setup or cleanup
Serve on the Safety Committee, End-of-Year Employee Party Committee and other school-wide committees as needed.
Coordinate conference logistics for advancement team members.
Office Management Responsibilities
Sits at front desk, greets and directs visitors and alerts colleagues to their arrival, signs forpackages and performs other front-desk responsibilities as needed.
Obtains and distributes incoming mail twice daily; assists with office mailings, packages, messenger service, FedEx, etc.
Acts as Advancement liaison for any equipment or building maintenance needs including but not limited to Facilities or IS support, i.e. submitting work requests,trouble tickets and copy machine maintenance and repair calls.
Orders office supplies for office and team, including copier paper and stationery, keeping track of inventory and personal preferences.
Manages the kitchen, keeping staples in stock (coffee, tea, etc.); sets up and cleans up department meetings.
Orders food for department meetings and organizes birthday celebrations and any other special occasions.
Sends condolences and flowers to community members.
BA degree and/or at least 5 years’ experience in an executive support role
Strong oral and written communication skills
Proficiency in Outlook (Office Suite), Word, Excel, and PowerPoint. Knowledge of Raiser’s Edge software a plus
Ability to prioritize and handle multiple projects and tasks
Excellent attention to detail and follow through
Well-developed organizational skills
Ability to work well with others and model professional behavior
Demonstrates discretion and good judgement
Ability to work both independently and in a team environment
Exhibits a can-do attitude and is a self-starter
