The Admissions & Student Affairs Specialist is responsible for advising graduate students in the Department of Statistics PhD and MS programs from point of admission application through graduation and managing all related records. Works with chair on all student affairs events and maintenance of student office spaces. Exercises consistent independent judgment in greeting, advising, and referring all students, faculty, and other university student affairs staff appropriately to resources and staff both within the department and otherwise.
Manages all Admissions applications and related review files with follow-through on bringing applications to completion, handling correspondence both independently and per Admissions Chair request, working with the Office of International Affairs as liaison between student, university, and department admissions committee.
Possesses and maintains current knowledge of Slate Application Manager and advises faculty and IT staff re coordination of information transfer between this system and departmental database.
Takes primary responsibility for entry, accuracy, and maintenance of admissions information in both systems.
Generate reports on application counts and status, analyze results; forecast final counts.
Student Affairs advising of students and faculty regarding academic progress, including handling of all course registrations, add/drop recording, departmental grading and academic progress tracking and reporting, administrative filings related to change of status or convocation.
Interprets and enforces degree program requirements and verifies that satisfactory completion of degree requirements are in compliance both with University and departmental rules and requirements.
Consult with Department Chair or Administrator when complications arise.
Annually update the Student section of website including writing prose when required.
Maintains hard-copy and electronic departmental student files and makes such appropriately accessible and usable for faculty review.
Works in Academic Information System (AIS) to create and maintain student records in compliance and cooperation with divisional Dean of Students and the Registrar's Offices and ensures proper academic progress paperwork is relayed to Dean of Students and Registrar in timely manner.
Advises students accordingly and liaisons with faculty on student concerns and issues.
Provides confidential advice and care to students with special needs in coordination with all appropriate University offices.
Serve as an advocate, ombudsperson, and general information resource for all students.
Managing department-sponsored student services in cooperation with departmental administrator and chair, including maintaining student offices and key assignments.
New student orientation events and communications.
Updating web content regarding admissions and student concerns.
Organizing, publicizing, and supervising regular student events.
Organizing prospective student visits.
Tracking, collection, and administration of monies and fees for student reimbursements.
Must be able to effectively handle student crises situations and make appropriate referrals as necessary.
Assist with special projects or conferences as requested by admissions committee chair or department chair.
Ability to handle file preparation or bulk mailings/communications at peak points in Admissions season or during Orientation Week.
Knowledge of higher education student affairs, admissions, and/or public relations.
Familiarity, relative to peer institutions, with University administrative systems and offices, particularly pertaining to student administration and policies.
Working knowledge of international student concerns and related visa and immigration law required. Interest in public events and daily interactions that are strongly people-oriented.
Facility with standard business writing and producing copy for public dissemination. Ability to speak before large groups, including non-native speakers.
Ability to maintain basic accounts (budget, collection, expenditure reporting).
Education, Experience, or Certifications:
Bachelor's degree required.
At least two years of progressively responsible work experience required.
Experience in an academic or nonprofit educational environment.
Experience with student affairs.
Technical Knowledge or Skills:
Computer literacy in PC environment with demonstrable facility and high accuracy in standard Microsoft Office Suite programs and PDF management. Medium to advanced ability in Excel.
Ability to learn and manage UC Slate admissions application and AIS online student affairs systems and files.
Ability to use UC BuySite, GEMS, and E-payments financial systems and learn awareness of related financial policies as pertains to student funding and financial support.
