The Administrative Support Coordinator will work under the direction of the Director of Operations and will be responsible for assisting the Governance, Operations and Membership Teams accomplish the tasks of supporting the Association.
The ideal candidate will bring expert organizational skills and the ability to perform multiple tasks at the same time. This person will interact constantly with Association members and AAA Professional Staff.
1. Supports Director of Operations in managing building facilities:
a. Maintains detailed records regarding the facilities including equipment list with record of repairs and maintenance and completes weekly Accounts Payable vouchers. b. Works with our property support managers to schedule maintenance and meeting shipping dates. c. Monitor staff kitchen duties. 2. Processes accounts payable check run for Finance Department.
3. Coordinate and process all incoming UPS and FedEx packages and outgoing shipments; provide leadership with the shipping process.
4. Ensure adequate inventory levels of office supplies for the building; ensure supply closet is organized and fully stocked.
5. Assist with special projects including but not limited to:
a. Manage records in our Member Database, as directed b. Supports the yearly Segment Directory Project c. Manages an Insurance tracking spreadsheet and files. d. Supports the development of Section and Region Plenary Slides e. Supports the weekly reporting of Segment Meeting registrations. f. Supports the coordination of Annual Meeting Section Awards. g. Compile data and provide results of yearly publication inventory. h. Other projects as assigned. 6. Create, maintain and evaluate timelines and written processes for this position.
7. Manage projects, assignments, and work with a changing environment, recognizing that this position will change over time.
8. Other duties as assigned.
