This position will be toserve as part of the administrative team for Pediatric Cardiology. Strongwritten and oral communication skills are required. The individual will workdirectly with multiple physician leaders in the area. This individual willprovide key stakeholders a wide range of support, including assistance andmanagement of the fellowship application, interview, and recruitment process aswell as general administrative support for faculty, research staff, andadministrative officers.
Key Functions and Expected Performances:
1. Servesas the Pediatric Cardiology fellowship coordinator.
Â· Coordinateand execute 40+ interviews of Medical Doctor Candidates interested in pursuingsubspecialty pediatric cardiology training.
Â· Serveas liaison to incoming fellows to ensure smooth transition from resident tofellow. This includes significant communication to obtain necessarydocuments, answer program-specific and general questions. Keep newfellows informed on key due dates for GME-related documents and times lines forstart dates.
Â· Workin conjunction with the fellowship Director to ensure that the learningexperiences of the Program meet the requirements of ACGME andGME. This includes new teaching opportunities, expectations forrotations, conference participation and research time.
Â· UtilizeNew Innovations to design and implement Fellow/Faculty evaluations based on thenew ACGME milestones for PEM.
Â· Maintainall necessary Fellow requirements including duty hour reporting, completion ofevaluations, logging of procedures and up-to-date certifications.
Â· Coordinatemonthly time off reporting in the Exempt Time Off system and maintaindocumentation, including FMLA reporting.
2. Budgetaryresponsibilities include
Â· Workwith individual fellows in the control of travel expenses and reimbursement ofContinuing Medical Education funds, which includes communication regardingallowable purchases and expensing items to ensure reimbursement.
Â· Managethe budget for fellowship interviews and monitor overall fellow cost ofpractice center.
3. AdministrativeDivisional Support
Â· AssistLead AA with administrative faculty support of over 20 faculty includingreappointment and recredentialing processes, travel arrangements andreimbursements, meeting coordination, e-procurement, etc.
Â· Maintainsthe call schedule within Synergy ensuring that all changes are submitted intimely fashion and communicated as needed.
4. ResearchAdministrative Support
Â· AssistResearch AO with training grant reporting and continuation efforts.
Â· Tracktrainee spending and stipends for expense reporting
Â· Assistfellows/trainees with VUMC Cores and other central office needs
Â· Helpreview monthly ledger transactions for compliance reporting
Â· Otherassistance and reporting as needed

Â· Proficiencyusing Microsoft Office
Associate Degree and 3 years of experience.
