Support the Executive Office and Education & Professional Advocacy divisions with special projects and administrative work
Compose, type, and distribute professional correspondence, memos, minutes, reports and emails
Develop and organize PowerPoint presentations and visuals
Update and maintain assigned manuals, documents and directories
Assist with volunteer management and the activities of assigned committees (i.e. Leadership Development Committee, HOD, Council on Policy & Bylaws), including minutes, development of annual reports and action item follow up
Provide outstanding customer service and support of the Executive Office and Education & Professional Advocacy divisions. Specifically, handle calls/request from members, nonmembers, constituent/component officers and staff
Manage inquiries from assigned ADHA email accounts.
Support assigned awards. Ensure reviewers receive all materials in a timely manner, calls are set up and help process the awards.
Assist as back up for reception and all administrative related duties
Meetings & Events
Assist with Board of Trustees, HOD and related committee meetings, events and related communications
Coordinate all administrative aspects of CEO and division director’s travel, including but not limited to registrations, confirmations, scheduling, and preparation of materials
Oversee calendars, appointments and meetings (internal, external, virtual, in person, etc), including but not limited to, preparing and distributing agendas, setting up virtual meetings and other meeting materials
Support assigned Annual Conference division-related functions
Assist with the implementation of ADHA’s strategic and annual operating plans.
Support ADHA’s marketing and communications efforts provided by Big Voice Communications providing division information, reviewing communications, and completing assigned work
Support the execution of assigned corporate sponsored programs and ensure that all programs are implemented to meet program objectives
Support ADHA’s collective membership recruitment and retention efforts through assigned division and intra-divisional initiatives
Other duties as assigned
Experience – One to three years’ experience in a service-oriented and administrative environment. Association or nonprofit experience preferred.
Skills – Exceptional customer service, organizational and technology skills. Candidate must be proficient in Microsoft Office applications coupled with excellent verbal, written and listening communication skills and keen attention to detail are a must. Candidate must be detail oriented, proactive and have the ability to manage multiple priorities from different supervisors. Previous experience with data entry and working with an Association Management System (AMS) is a plus.
Education – Bachelor’s degree or equivalent experience.
