SUMMARY The Sponsorship and Events Coordinator is responsible for all fulfillment services for NACE corporate sponsorships by working closely with the marketing, sales, and conferences and exhibits teams, vendors and other internal departments to ensure proper execution of sponsor benefits. The position works closely with the Sponsorship Development Manager in executing the details of organizational sponsorships and the annual conference, and is cross-trained in both area and topical event support.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Planning and executing fulfillment services for sponsorship agreements in a timely manner, including but not limited to working with Marketing and Sales on promotional collateral, sales tools, electronic communications, advertising, cross-promotional opportunities, website, video, and any other delivery channels
Preparing and maintaining sponsorship program online to ensure a steady stream of prospects and future sales for organizational sponsorships and conferences
Assisting the sales team with account development including prospecting and lead development
Tracking customer objectives, spending, and activation efforts to ensure sponsorship is meeting customer’s objectives and ROI
Adapting strategies to ensure the most cost-effective efforts are being implemented and/or modifying strategies to achieve organizational revenue goals
Collaborating with procurement staff to negotiate externally with suppliers and ensure all purchases are consistent with NACE’s procurement policy
Monitoring the sponsorship budget in an accurate and effective manner to meet annual NACE budget goals
Serving as the internal project lead between staff and vendors for event signage process from inception to successful delivery onsite, overseeing and taking accountability for signage project life cycle
Managing, maintaining and tracking sponsorship inventory at the NACE Distribution Center
Participating in on-site execution of key events including annual conference and both area and topical events, as needed
Maintaining thorough knowledge of competition for NACE events

An ideal candidate will have a keen eye for detail, strong organizational skills, clear and concise written communication. A proven track record of executing tradeshows, sales generation/strategies, and working on time-sensitive projects is desirable.
Ability to travel; travel is expected 10-20% of time

Ability to get visa for major countries
EDUCATION and/or EXPERIENCE Bachelor’s degree in Marketing, Communications, Advertising, or related communications field, or four (4) years of experience in sponsorship account management or tradeshow execution.
LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, members, employees of the organization, customers, and the general public.
MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Excellent analytic skills and strong data-driven approach are required.
REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.
OTHER SKILLS and ABILITIES
Must possess a specific level of communication skill both verbal and written.
Must have demonstrable copyediting/proofreading skills
Must be familiar with graphic design, layout, and production processes
Ability to work in a multi-task environment taking into account various external factors and to communicate efficiently and accurately to both managers/supervisors and staff.
Must exhibit problem-solving skills, teamwork skills, and time management skills.
Must be computer literate with knowledge and experience in word processing and spreadsheet softwares.
Ability to learn and use association specific software.
Strong computer skills including Word, Excel, and database applications (Microsoft CRM)
Basic understanding of marketing concepts and sales strategies is a plus.
