Working 20 hours per week, the Office Administrator will assist an 8-person staff in the following areas: 1) Provide administrative support to all staff; 2) Manage the member database and maintain record keeping; 3) Process event registrations; 4) Answer telephones; and, 5) Oversee office equipment repairs office supply inventory.
Assist in preparing materials, mailings and shipments.
Type, proofread, fax, file and copy documents and files.
Coordinate all incoming and outgoing mail, parcels and shipments.
Support the accounting department by creating reports and mailing statements.
Update and maintain data in the membership database.
Process event registrations.
Answer incoming calls and route them as appropriate.
Coordinate issues relating to the office’s physical condition (i.e., office equipment maintenance, cleaning staff, etc.).
Perform other duties as assigned by the Executive Director & CEO.
Minimum of 2-years of experience in administration.
Must be able to late mornings/early afternoons on Monday-Friday.
Proven attention to organization and detail.
Proficient in MS Word, Excel Outlook; experience with QuickBooks a plus.
Able to write letters, create forms and generate reports from database programs.
Able to answer telephones in a professional manner.
Able to handle multiple tasks simultaneously.
Additional Salary Information: Twelve paid days off per year.
