DESCRIPTION:Reporting to the Chief Communications Officer (CCO), the Communications Coordinator provides project support for internal and external communications and marketing initiatives. S/he is a mar/com generalist, performing promotion and publicity copywriting/editing; media buying support; project assistance on a wide range of University collateral projects; and is responsible for daily operations and coordination of workflow for University Communications and the CCO. Duties and responsibilities include but are not limited to:
Assist CCO and department directors in planning, managing, and developing promotional activities/materials related to major University events, the University's brand campaign, student recruitment materials, etc.
Assist with day-to-day project tasks as requested: basic copyediting, proofreading and general quality control, monitoring or assisting hands-on with materials created by our department or our external marketing partners (Online Program Manager, Professional Schools' digital marketing agencies, and brand marketing agency).
Act as a first point of contact for many University clients and collaborators, and represent the University and the University Communications department professionally and strategically to key outside contacts; for example, speedily and appropriately direct initial contacts made by reporters, prospective students, parents, the general public, etc.
May assist Creative team by supporting photo shoot logistics, archiving visual assets, etc.
May assist Web and Creative teams by inputting edits on the University's main website, approving University event postings, and posting stories and images to the site.
May assist Editorial team on University magazine story development and other publications.
Support CCO and Media Relations Director in urgent communications tasks and general coordination during crisis/emergency situations.
Manage mass internal e-communications (University/Bulldog Announcements) by intake, editing, formatting, and distribution per established policy/process.
Record and publish meeting minutes for the Enrollment & Marketing committee of the Board of Trustees.
Provide confidential executive-level support to CCO (phone, calendar, meeting coordination, logistics).
Perform central departmental administrative and operational duties.
Perform other duties and special projects as assigned or directed.
MINIMUM QUALIFICATIONS:Bachelor's degree is required, ideally in a communications or marketing-related or any writing-intense program. Minimum of two (2) years of directly relevant education, training and/or experience is required, preferably in or related to higher education or another nonprofit environment. Creative agency experience or related work interest is desirable. Necessary knowledge, skills, interest, and abilities include: excellent written and verbal communication capabilities; copywriting or other creative, as well as business communications, capability; excellent proofreading, quality control, and brand-appropriateness sensibility and skills; and experience in or the desire to learn about the various roles and responsibilities of an integrated communications and marketing organization. Independent judgment, polished and professional communications and demeanor, ability to work autonomously, and strong interpersonal skills required. Executive-level interaction and support experience preferred. California Driver's license and a good driving record required. Occasional work outside of regular hours required for coverage of campus news or events for publicity, promotion, and other communication or marketing purposes. In addition, deadline-critical projects will sometimes require the position to join the rest of the team in putting in extra time to see projects through to timely completion.
