Responsible for accurate and timely processing of payroll for about 300 employees. Provide timely and accurate financial reporting. Primary contact for payroll-related inquiries from employees, people and culture, tax authorities, and other outside parties.
Essential Job Duties
Process semi-monthly payrolls including, but not limited to, verifying hours, calculating OT and retro pay, processing benefit deductions, and bonus payouts.
Initiate payroll journal entries.
Prepare payroll-related reconciliations and understand what makes up the balances.
Analyze problems and resolve payroll issues and efficiently communicate with all parties involved.
Process stop payments and reissues of lost payroll checks/direct deposit reversals; investigate and resolve all payroll discrepancies in a timely and accurate fashion.
Provide subject matter expertise in the area of payroll taxes, including withholdings and remittance of federal, state and local taxes and the timely production and distribution of W-2s and 1099s.
Complete analysis of various payroll controls to ensure data integrity.
Develop and maintain a relationship with a payroll service provider to resolve issues and create system enhancements to produce accurate payrolls.
Develop and communicate organization-wide payroll policies and procedures. Partner with People & Culture in developing and communicating policies and procedures. Prepare and file quarterly and annual payroll tax reports for federal and multi states.
Partner with People & Culture in implementing new payroll and benefits platform.
Ensure systems are set-up and updated to reflect our current employee base, including wages, benefits, sick and vacation time in line with Ounce’s internal policies.
Manage regular preparation of relevant management reports, including semi-monthly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
Report unclaimed property payroll checks to the appropriate state and reflect the liability on yearly balance sheet.
Review/verify semi-monthly time and attendance records for both hourly and salaried employees and follow up with proper management on missing approvals.
Stay informed of the payroll processing system and changes in wage and tax laws, and corresponds with federal, state and local tax agencies as appropriate.
Maintain and reconcile current balances for all employees paid time-off banks including vacation, sick, and personal time on a semi-monthly basis.
Review and verify new hire information, terminations and changes. Make payroll related updates in the payroll system.
Assist employees in understanding payroll calculations and deductions. Investigate problems and make appropriate corrections as necessary.
Scan payroll documents and maintain digital archive.
Perform other job related duties as assigned.
Knowledge, Skills and Abilities – May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.
Experience in federal, state and local taxation to include multi-state tax experience.
Has in depth knowledge of wage and hour regulations. Understands intricate processing of garnishments and other involuntary deductions.
Computer savvy, especially very strong MS Excel skills and good MS Office skills (Word, PowerPoint, Outlook, and Access).
Strong data entry management skills.
Experience with accounting and report writing software.
Ability to learn and master other computer technology /software programs as needed.
Must have experience managing deadlines and performing under tight time constraints.
Work requires continual attention to detail in composing, proofing materials, establishing priorities and meeting deadlines.
Must have excellent command of English language and grammar, both verbal and written
Able to process, protect and exercise discretion in handling confidential information and materials.
Required Qualifications – Required qualifications to effectively perform the job. An equivalent combination of education, training and experience will be considered. (Additional requirements may be designated by position.)
Bachelor’s degree in Accounting, Finance or a related field; Certified Payroll Professional (CPP) highly desirable.
