SENIOR ADMINISTRATIVE ASSISTANT , Alumni Association-Office of the Executive Director of the Annual Fund , to perform diverse and complex administrative tasks. Will provide advanced administrative support for the executive director and specific programs and initiatives. Duties include answering and responding to telephone calls and email inquiries; drafting and preparing correspondence, editing and proofreading written documents and emails, and generally ensuring clarity in communication and responses; assisting executive director with daily scheduling, meeting preparations, and pending deadlines; maintaining an inventory of priority projects, processes, and timelines; assisting executive director with travel arrangements, including scheduling appointments for constituent visits; and assisting in planning meetings of the Annual Fund board and its subcommittees and volunteer committees. Will also be responsible for board meeting preparations, including scheduling and catering, preparing meeting documents, coordinating staff and other presentations, and distributing reports and other materials to staff and volunteers as needed; and assisting in managing Annual Fund budgets, ensuring that expenses are attributed to the appropriate cost centers.
REQUIRED : five years' related experience; strong administrative and organizational skills; aptitude for data analysis; excellent interpersonal and verbal and written communication skills; detail orientation; good judgment; initiative; commitment to customer service; and experience with Advance and proficiency with Microsoft Word, Excel, and PowerPoint. Must be able to prioritize and handle diverse tasks concurrently in an active environment; approach problems with creativity, insight, and resourcefulness; and work both independently with minimal supervision and as part of a team. Direct experience in development or alumni relations highly valued. Background in nonprofit organizations or university settings desirable. Bachelor's degree and knowledge of desktop publishing and databases preferred. Accounting experience preferred; willingness to learn required. Job #16327-6
