The American Bar Foundation (“ABF”) seeks a full-time Administrative Assistant to provide support to the Fellows of the ABF. Located in Chicago, the ABF is a nonprofit, independent national research institute committed to empirical research on law, legal institutions and legal processes. Integral support to the ABF is provided by the Fellows of the ABF, an honorary organization of lawyers, judges, and legal scholars whose public and private careers have demonstrated outstanding dedication to the highest principles of the legal profession and to the welfare of their communities.
The Fellows Administrative Assistant will be responsible for a variety of tasks as part of a six-person team that generates more than $2 million annually for the ABF through gifts from Fellows of the ABF.
Under the supervision of the Associate Director of the Fellows, the Fellows Administrative Assistant will:
be the primary point of contact for phone calls and emails to the general Fellows office;
assist with Fellows recruitment efforts by researching print and online sources;
create and distribute periodic mass mailings and emails;
update constituent records in database with new information as received;
assist with data entry and gift processing in database;
create online event listings and registration forms;
prepare invitations, nametags, registration lists, and other materials for events;
update website content as needed and coordinate with website developers to post new information;
produce acknowledgements and receipts for all gifts received;
process all new Fellows by generating welcome packets and emails;
process existing donor acknowledgements and thanking procedures;
be responsive to requests from the Executive Director of the ABF and other managers and work collaboratively with colleagues across all departments of the ABF.
B.A./B.S. degree or equivalent practical experience preferred
Experience working in a professional environment preferred
Able to communicate (verbal and written) and work effectively with volunteers and staff
Superb organizational skills and attention to detail
Computer proficiency (Word, Excel)
Experience with Raisers Edge or other constituent databases a plus
Adaptable and flexible
Ability to handle multiple projects simultaneously
Ability to work independently and in a team environment
Initiative and the ability to think critically
Ability to interact with attorneys, judges, scholars, and academic professionals
Ability to maintain confidentiality and discretion in all areas of ABF business
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open cabinets, and bend or stand as necessary.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m.
No travel is expected for this position.
