The American Board of Thoracic Surgery, Inc. (ABTS) is a nonprofit corporation that serves the public interest and the profession of thoracic surgery by promoting excellence in practice through Certification and Maintenance of Certification processes. The ABTS (www.abts.org) is looking for experienced candidates for our full time Senior Administrative Assistant position. The ABTS office is located in downtown Chicago in the Streeterville neighborhood.
The Senior Administrative Assistant will support the Board’s information technology functions, which includes troubleshooting technical problems (hardware and software) and working with outside consultants to fix the problem. The Senior Administrative Assistant will be responsible for supporting and managing the Board’s new IMIS administrative database, web portal and web site, including updating web pages and creating queries and reports in IMIS.
The Senior Administrative Assistant will be responsible for processing the Board’s accounts payable and receivables using IMIS and QuickBooks. He/she will manage the annual dues payments in addition to the processing of applications and examination fees. He/she will also be expected to respond to clients’ inquiries in a timely fashion. Knowledge of billing, creating products and blast emailing through IMIS is required.
The Senior Administrative Assistant will provide assistance with the certification process, including processing applications, communicating to residents about requirements, registering candidates for the examinations, and meeting management. Other responsibilities are overseeing the Annual Reports, faculty evaluations, and other correspondences. The Senior Administrative Assistant will assist in keeping the Board’s web and social media sites up-to-date. Knowledge of IMIS events and certification components is required.
The Senior Administrative Assistant will be responsible for other administrative function in the office, including answering phones, updating change of addresses, and ordering supplies.
A Bachelor’s degree in a related field is required.
Four to six years of accounting, IT, and project management work experience is preferred.
