The Florida Bar offers its members a full range of opportunities to meet annually with other lawyers, specifically Annual Convention and Fall Meeting held every year and the Winter Meeting held as space permits during the legislative season. The Meetings and Convention department handles the coordination, and any inquiries about the Fall or Winter Meetings and Annual Convention. In addition to assisting other Bar staff with contracts for section and division meetings.
Now seeking full-time Administrative Support 3. The ideal candidate will be responsible for performing administrative and professional meetings related duties, including unique responsibilities specific to this position. Assisting the Meetings Director as requested. Requires some travel and periodic overtime.
Duties & Responsibilities: Assists and provides staff support to the Meetings Director with all scheduled meetings and conventions. Receives and responds to verbal and email requests from Bar staff and members regarding schedules, hotel reservations, registration questions, etc. Assists as needed with the Fall Meeting and Winter Meeting programs; Annual Convention brochure, on-site programs and online registration. Assists with designing and coordinating updates to the Meetings website; Handles the Bar News ads for Winter Meeting and Annual Convention. Works with each applicable hotel billing coordinator to process master bills for the Fall Meeting, Winter Meeting, and Annual Convention. Maintains the Bar's master calendar. Secures bids for production of the Annual Convention portfolio, lapel pins, and children's giveaways. Coordinates production of Fall Meeting, Winter Meeting, and Annual Convention onsite signs, and orders tickets, badges, and ribbons.
Education & Work Experience Requirements: High school diploma (or its equivalency). Five (5) years of progressively responsible office administrative experience. College degree is preferred. Appropriate related degree may substitute for the experience on a year-for-year basis.
Knowledge, Skills, & Abilities: - Knowledge of: Meetings and Contracts; Negotiating and marketing skills; Hotels and meeting facilities; Administrative principles and procedures. - Skilled in: Contract negotiating; Database usage proficiency; MS Word and MS Excel. - Ability to: Negotiate effectively; Multitask; Effectively manage difficult and stressful situations; Establish and maintain effective working relationships; Communicate effectively and professionally, both verbally and in writing; Pay attention to detail; Proofread; Prioritize work and stay organized; Be creative; Travel and work overtime.
