Supports the logistics of awareness-building and cultivation of events.
Essential Job Duties
Create, monitor and maintain event timelines, including communicating assignments to staff and acting as liaison between divisions.
Coordinate and execute tasks and activities with event vendors and provide timely updates on status.
Responsible for all elements of event registration structures, including Salesforce and Cvent campaigns, online portals, payment systems and reporting.
Support creation of event budgets; maintain vendor relations including processing NAV/purchase orders and payments.
Coordinate all outreach efforts, including the creation and mailing of all event and post event related materials.
Oversee day-of event activities and operations pertaining to vendors, volunteers and attendees.
Lead the recruitment and organization of Ounce volunteer staff, including identifying volunteer needs, staff outreach, creating training materials, and training delivery.
Support the logistical needs for the division’s Educare tours, including outreach, scheduling assistance, catering and delivery of materials.
Coordinate scheduling and execute the delivery of all mailing lists, event attendee lists, reports and post event metrics in coordination with Data Analytics associate.
As part of the Development team, perform other job-related duties as assigned.

Experience coordinating special or large events.
Excellent written and verbal communications skills are required with a strong attention to detail.
Ability to promote and maintain effective internal and external communication between internal staff, partners, and attendees.
Advanced/working knowledge of Microsoft Office Suite, word and excel are required..
Self-motivated and detail-oriented, with the ability to manage multiple, competing deadlines.
Excellent interpersonal and relationship-building skills.
Able to process, protect and exercise discretion in handling confidential information and materials.
Ability to work independently and as a team member in a fast-paced work place environment, supporting the success of many concurrent projects.
Strong proficiency with Microsoft Office products and fundraising databases (Salesforce and Smartsheet preferred), with the ability to learn and master new technology and software programs as needed.

Bachelor’s degree in Liberal Arts, Communications, Marketing, Business or a related field.
Four or more years of experience in business or similar industries.
Non-profit fundraising, public relations or marketing experience is preferred.
