<p>Duties/Responsibilities <br /><br />Administrative Support – 35%<br />• Maintain Advancement’s group scheduling of meetings<br />• Arrange details of contact between the Advancement Team and benefactors/prospects including: Creating information packets, Scheduling, Securing locations, Obtaining gift items, On-campus parking, Lodging, Arrange details for third-party individuals included in contact<br />• Respond to requests from benefactors/prospects, while Chief Development Officer, Director of Advancement and development staff are in the field, in a timely manner<br />• Staff Alumni and Friends Society meetings as well as other committee meetings<br />• Arranges travel including airfare and lodging for advancement team<br />• Works with UMF reporting and analytics team to pull development reports<br /><br />Gift Processing Administration and Data Management – 35%<br />• Manage gift record functions to assure that receiving, processing, and acknowledging all charitable gifts, grants, and pledges to the College and its associated programs are performed in an accurate and timely fashion.<br />• Manage gift record operations so data can be easily retrieved for fundraising or other development purposes.<br />• Is persistent and consistent in maintaining the confidentiality of all data.<br />• Work with administrators of appropriate databases to update/maintain information including addresses, areas of expertise, and involvement<br />• Obtain information/generate reports from files/databases available including address lists, prospect lists, rosters, briefings<br />• Work closely and collegially with the College’s business and advancement staff of policies and procedures for handling cash, checks, and other assets received; in the establishment of funds in accordance with donor intent.<br />• Ensure proper management of gift records and provision of receipts to benefactors.<br />• Provide reports on fund accounts and fundraising records.<br />• Establishes standards and protocols to achieve 100% accuracy in all processing, transmittal, and acknowledgment of gifts.<br /><br />Event support – 20%<br />• Compile materials for meetings and events<br />• Arrange for space, food and beverages for various collegiate events including Advancement, Academic & Student Affairs, and Research<br />• Provide support to the Event Coordinator<br /><br />General Duties – 10%<br />• Act as back up support for Dean’s office<br />• Photocopying, filing, faxing and scanning activities<br />• Maintain group scheduling<br />• Maintain awareness of available and current College of Veterinary Medicine/U of M Foundation/U of MN materials including press releases, news articles, reports, statistics, course information, general information<br />• Typical tasks may include participating as a member of the Office of the Dean team, along with professional and support staff, to further the mission of the office and the College of Veterinary Medicine<br />• Other duties as assigned by supervisor</p><p>This position will report to the Chief Development Officer but will provide administrative support to the entire advancement team. This work is performed at the College of Veterinary Medicine and occasionally off-site at event locations.</p><p>Hourly Salary Range: $16.18 to $27.21 USD/hour</p><p>***This position is represented by a bargaining unit, AFSCME Clerical. Dues or fair share deductions will be made.***</p>
<p><strong>All required qualifications must be documented on application materials.</strong><br /><br />Required Qualifications:<br />• High School Diploma/GED and four years of experience in a general office support position with some previous experience in the development/advancement/fundraising industry. Training/education may be substituted for some of the years of experience<br />• Experience in the development/advancement/fundraising industry<br />• Advanced software proficiency skills/experience in word, excel, power point, Google mail and calendars<br />• Demonstrated experience in working with databases, websites, and related technologies<br />• Demonstrated strong orientation to detail, organization, and effective time management<br />• Demonstrated strong problem-solving skills with ability to implement strategy<br />• Demonstrated strong interpersonal, written and oral communication, with demonstrated service orientation and diplomacy<br /><br />Preferred Qualifications:<br />• Client-focused responsiveness demonstrated through direct person-to-person relationship management<br />• Ability to handle multiple tasks and work independently, using initiative to overcome obstacles and complete tasks accurately and on deadline<br />• Experience in an academic, marketing, or nonprofit environment<br />• Proven ability to work with volunteers, donors, and vendors</p>
