WORKING WITH CLIENT ASSOCIATION: World Gastroenterology Association (WGO) & World Gastroenterology Association Foundation (WGOF) REPORTS TO: Executive Director, WGO STATUS: Exempt
GENERAL SUMMARY: Responsible for managing WGO and WGOF sponsor relations, World Digestive Health Day (WDHD) and other Foundation programs and initiatives. Assist with management and coordination of meetings, congresses and other WGO/WGOF education programs. (Sponsor Relations, Meetings and Other Programs)
POSITION RESPONSIBILITIES (Minimum of 37.5 hours/week):
With the oversight of the WGO/WGOF Executive Director manage assigned administration functions and processes related to governance for WGOF, including but not limited to, scheduling and conducting of conference calls and meetings, agendas and related materials, proceedings of meetings, creation of correspondence and other communications and documents, nominations and elections, and other projects as needed.
With the oversight of the WGO/WGOF Executive Director manage assigned functions and processes related to sponsorship relations for the WGO/WGOF.
Liaise directly with WGO and the WGO Foundation leadership and Executive Director to develop, implement and monitor sponsorship program strategies, goals, objectives, budgets, grants and proposals, promotional materials and activities, and sponsor recognition.
Identify and cultivate potential sponsors and communicate with current sponsors.
Develop marketing materials, press releases, presentations and other information related to fund development and program grants.
Coordinate and produce agendas, background materials, and minutes for WDHD and other sponsorship related meetings.
Supervise the development of systems to ensure maintenance of proposals, agreements, budgets, deliverables, contacts, monies received, sponsor recognition and reports due.
Provide frequent status reports to the WGO and WGO Foundation leadership and Executive Director.
Manage all aspects of World Digestive Health Day (WDHD).
Manage and coordinate activities of the Clinical Research Committee.
Coordinate development and maintenance of the WGOF website. Maintain current information on the site. Make recommendations for improvement. Coordinate redesign processes in collaboration with oversight committees, EDI support services and other WGO staff. Perform regular review throughout site to identify and correct errors.
Assist Executive Director with management and coordination of meetings and congresses.
Develop related educational programming as identified as priorities for the organization.
Serve as liaison to assigned committees of the organization.
Serve as back up for Training Centers Program.
Recommend project concepts and improvements for projects and programs.
Other duties as assigned.
AMOUNT OF TRAVEL REQUIRED: Approximately 2-4 weeks per year, including domestic and/or international travel; some early morning, evening and weekend work may be required.
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred, 3-5 years professional experience. Excellent organizational, oral and written communication skills with high accuracy and attention to detail. Strong interpersonal skills. Computer proficiency, including MS Word, Excel and PowerPoint, and database skills. Proficiency in a second language, fundraising, meetings management, and experience working with nonprofit boards of directors a plus.
