POSITION SUMMARY
The Event & Logistics Specialist supports all logistical activity related to the association's events and other assigned projects. The position reports to the Director of Member Learning. This position will assist in an administrative role in planning, implementation, and tracking of events/meetings that have specified deliverables including coordination of internal and third-party resources to ensure the flawless execution of the events and/or programs.
ESSENTIAL DUTIES and RESPONSIBILITIES
Within the limits of bylaws and policies, the Event & Logistics Specialist is responsible for:
Work closely with internal departments, venues, and vendors to meet the objectives of each meeting.
Coordinate and oversee the implementation of tasks related to negotiated contracts with hotels, convention centers, decorators, sales, a/v contractors, registration company, floor manager, speakers, and others involved in the event.
Manage various activities of exhibit management contractor, exhibit facility, decorator, security agencies, exhibitors, etc.
Manage the fulfillment of event-related sponsorships.
Create and manage rooming lists for staff, vendors, and VIPs.
Assist in conference software testing, implementation, and support.
Coordinate with other departments on updates for communications and logistical needs related to membership.
Oversee mobile app implementation and updates for event.
Coordinate meeting materials production, shipment and receipt for events.

EDUCATION, EXPERIENCE, and REQUIRED SKILLS
Bachelor Degree preferred
5+ years of related experience; association management or nonprofit volunteer management preferred
Experience in event and meeting planning strongly preferred
Strong attention to detail and excellent proof-reading skills required
Experience working with volunteers, customers or members preferred
Experience with meetings management software and Microsoft Office applications
