Planning and coordination of logistics and details within meetings budget, scheduled and prescribed guidelines for assigned meetings as follows:
National Meetings and Topical Meetings
Responsible for meeting planning functions to include space assignments and meeting specification development, as well as housing, audio visual and food and beverage coordination
Working within the budget, managing expenses, identifying variances, and final revenue and expense projections
Work with Director with site selection and contracting of hotels as appropriate
Interface with appropriate organization committee chairs on conference logistics throughout the planning process
Coordinate the create of all related meeting information and forms for registration, tours, and special events for the meeting website and the preliminary and final programs
Coordinate meeting logistics with hotel convention services personnel and other service providers
Coordinate marketing and promotion of meetings to include campaign ads, direct mails and e-mails
Liaison with hotel personal and other service providers during on-site execution
Maintain all meeting tracking history to include housing and registration reporting
Reconciliation of meeting invoices
Travel to assigned meetings, approximately 4-6 times annually
Supporting all aspects of meeting as required
Other duties as assigned by the Director to support department and organization goals
SKILLS: Meeting planning experience and expertise, detailed-orientated, technical proficiency, ability to work independently, strong oral, written and interpersonal communication skills, financial savvy.
EDUCATION: Bachelor’s Degree in Hospitality Management or related field preferred
EXPERIENCE: Minimum 5 years of practical experience in meetings coordination. CMP certification and association experience a plus
