The purpose of the Membership Associate is to provide support and assistance related to all membership activities, including the dues renewal billing process, data monitoring, report generation, and other activities as necessary to enhance the success of membership retention, recruitment initiatives and data quality. The Membership Associate will work approximately 25-30 hours per week.
Duties Related to Membership
The Membership Associate assists the Associate Director in the overall functioning of the department, working closely with other departments while striving to enhance the overall member experience and grow the membership. Duties include but are not limited to:
Membership Retention Support – Help execute membership plan as assigned by Associate Director as it relates to member retention. Fully responsible for overseeing the new member onboarding process.
Membership Recruitment Support – Help execute membership plan as relates to recruitment and identify recruitment opportunities at veterinary related events.
Communications – Help organize communications to members via mailings, electronic communication, website and social media vehicles.
Marketing – Help organize member content for websites, newsletters, publications, and other promotional materials.
Committee Support – Support Associate Director with additional committee support. Serve as a staff liaison to the Membership and Industry Advisory Committees.
Conference and Event Support – Assist, attend and interact with members at hosted events, including TVMA Annual Conference and Expo, Southwest Veterinary Symposium, local marketing events and special programs.
Duties Related to Member Services
The Membership Associate assists the Associate Director in the development and execution of the member services portfolio, a compilation of member benefits to provide added value to membership. Duties include but are not limited to:
Membership Retention Support – Assist with the development and management of member programs and services. Based on member feedback, recommend new products and services.
Communications and Marketing – Help organize communications and marketing materials to members via mailings, electronic communication, website and social media vehicles as relates to member benefits.
Duties Related to Database Maintenance and Integrity
The Membership Associate performs the following duties as they relate to database maintenance and integrity:
Membership Database –
Inputs and organizes content as it applies to new member information, member involvement, and creating new memberships.
Plans, schedules and conducts regular data quality assessments and clean-up
Produces and develops reports to facilitate targeted membership statistics, create list for directors, etc.
Assist members in navigating membership database and online member login portal.
Membership Renewals – Creates membership dues renewal invoices and assists with processing payments during the busy June-July time frame.
Directory – Responsible for the annual member directory project, working with staff and the publisher to get all materials together to meet publication deadline.
Social Community – Assists with monitoring and encouraging participation in the online social community
Data Integrity – Recommends methods for maintaining the integrity of member information
Duties Related to General Administration
The Membership Associate performs the following general administration duties:
Maintains and executes Standard Operating Procedures for all duties enumerated in this position description
Attends the TVMA Annual Conference and other meetings as assigned by the Associate Director or Executive Director and assists at the registration and in other work assignments
Qualifications and Requirements
At least four years experience in a responsible office environment and demonstrated general office skills
Proficiency in use of a computer and standard office equipment
Experience with, MS Word, Excel and related computer application programs
Experience with a relational database, marketing and social media is preferred
Effective and friendly communicator, high energy, detail orientated, well-organized with ability to multi-task.
Ability to work in a fast-paced environment and to meet established deadlines
Team player who works well with staff, members and volunteers
Availability to work some evenings and weekends
Ability to work within established performance standards, to establish program outcomes and planning objectives and to work toward these goals with minimal day-to-day supervision
Regular participation in professional development and continuing education activities as assigned or approved by the Associate Director
