MAIN PURPOSE:To coordinate and oversee implementation of the governance work of the boards of directors of both the American Academy of Optometry and the AAO Foundation. DUTIES AND RESPONSIBILITIES include, but are not limited to:•Coordinate all logistics and preparations for Board of Directors meetings. Prepare and distribute board meeting materials to the boards of directors of both AAO and AAOF. •Attend all board meetings and conference calls for AAO and AAOF and record minutes. Disseminate minutes for review and manage final distribution and posting. •Support the work of the incoming President of the Academy to recruit and identify volunteers for the next term of office. •Manage board and volunteer onboarding materials and communications. •Mail, track, and follow up on conflict of interest disclosures. •Maintain policy manuals for both AAO and AAOF. •Support the Executive Director and Board’s efforts regarding strategic planning development and implementation. •Work with colleagues, vendors, and volunteers to oversee the creation, implementation, and maintenance of database to track Academy activities, to retain “institutional history” over time. •Serve as staff liaison to the Nominating Committee. •All other duties as assigned.
MINIMUM QUALIFICATIONS:•Self-motivated, focused, positive attitude, flexible, and proactive. •Ability to multi-task and work in demanding environment. •Strong organizational skills. •Ability to make decisions and maintain confidentiality. •Ability to work with minimal supervision. •Ability to develop and implement office procedures and systems. •Excellent oral and written communication skills, including spelling, grammar, and editing skills. •Knowledge and experience with principles and practices of organization, planning, records management, research, and general administration. Prior non-profit experience preferred. •Strong communication, composition, computer systems, prioritizing, and public relations skills. •Advanced computer skills, including Word, Excel, PowerPoint and various other databases. •Ability to travelEXPERIENCE REQUIRED: Minimum 3 years of experience in high-level administrative support position required. Strongly prefer experience working with a board of directors and/or committees. Bachelor’s degree or equivalent experience.
