We're looking for a special candidate who is an administrative team player, maintains professionalism at all times, can provide accuracy in administrative support (especially typing!), and can be trusted to handle confidential business matters. The successful candidate will have a team attitude, stepping in to help other assistants when requested, and will work well with a variety of personalities and all levels of stakeholders.
This position supports the President and the CFO, assisting with their responsibilities regarding the board of directors and other association leadership. Maintains all board member records (contact information, communication preferences, board terms, elections, awards, etc.), prepares all board materials in advance of each board meeting (three per year) and ensures proper completion of board minutes following each meeting. Reports to the CFO in the absence of the President.
Key areas of responsibility
Provide administrative support to the President including calendar coordination, correspondence, calls, expenses, and supplies.
Maintains and distributes board policy manual
Assist President in Board Meeting Preparation
Facilitates completion of board meeting agendas and supporting materials/handouts
Prepares electronic board book for distribution prior to each meeting and hard copies for onsite handout
Provides support to Board officers
Assists with meeting logistics and room reservations for president and executive committee members
Attends board meetings, take minutes, distribute and maintain minutes as requested
Schedules conference calls/web meetings for board and committees
Maintain all board member records and coordinate all board awards
Manage all awards program associated with president’s office and board of directors
Administrative assistant to CFO for all accounting duties, as assigned
Other duties as assigned
Understanding of nonprofit, member-focused organizations and the variety of personalities such an organization can deal with
Strong knowledge of Microsoft windows environment (Word, Excel, PowerPoint)
Experience in data management for membership/activity records for associations
Excellent verbal and written communication skills (must provide examples); Excellent typing and proofreading skills; Proven accuracy and attention to detail. Well organized with ability to multi-task and work within time constraints
Ability to handle the demands of various personality types while maintaining strong professional and positive demeanor
Positive demeanor, phone manner and team player
Understanding of nonprofit, member-focused organizations
Additional Salary Information: Salary requirements must be include in FIRST communication. This is an hourly, overtime-eligible position. Overtime is not guaranteed, however, and is approved only on an as-needed basis.
