The role of the Administrative Assistant is to assist the Executive Office with clerical/administrative tasks on a part time basis. Tasks include:
Exam Packets – Compiling CFM Exam packets; examine all returned CFM exams to ensure they are still usable.
Filing – Membership\CFM Renewal Forms in members individual files.
Periodically audit CFM records, comparing database with actual files to ensure backup material is in place.
Preparation of mailing packages such as outreach items, i.e., coloring books, calendars, etc.
Maintain the membership database to ensure no duplicates, update member profiles, run reports as needed, ensure all member’s information is consistent, etc.
Assist with membership renewals such as phone calls, email follow up etc.
Assist with account reconciliations.
Assist with Fall Summit and Spring Conference.
Assist with contacting members registered for courses to remind them of their registrations, location, etc.
Other duties as assigned.
Requirements of the position
High school graduate preferably with an Associate’s Degree or Bachelor’s Degree from an accredited university. At least 2-5 years of experience with a non-profit organization and/or association background.
Knowledge & Skills
Strong working knowledge of Microsoft Office including Excel, PowerPoint, and Publisher.
Excellent verbal and written communication skills.
Demonstrated ability to organize, plan and advance time-sensitive projects.
Must be able to multi-task.
Resourceful, proactive and solution-focused.
Additional Salary Information: 15-20 hours a week on a set schedule during office hours of 8:00 am - 5:00 pm time frame.
