JOB SUMMARY: The Association Manager is based in the Frankfort, KY office with travel throughout the state and occasional trips outside of the state. The Association Manager provides administrative support to the Executive Director and the Board of Directors including: planning of quarterly and annual meetings, research, communications and general membership data. He or she may also act upon the Executive Director’s behalf in his or her absence.
ESSENTIAL FUNCTIONS: •Provides administrative support to the Board of Directors and its committees to include: preparing correspondence, arranging meeting time and place, maintaining current board and committee files, and arranging for Board mailings. •Ensures that the Board of Directors and Executive Committee are kept fully informed on the conditions and operations and on all important factors influencing them in the absence of the Executive Director. •Attends all meetings of the Board and the Executive Committee. •Provides the support to Board committee chairs and to committee members to enable them to properly perform their functions. •Knowledgeable about the guidelines and planning requirements of programs to be planned. •Supports Committees to ensure the timeliness required for their involvement in the planning process. •Plans, organizes, and directs programs and services; evaluates results and recommends any action to achieve program goals. •Supports Committees on guidance on matters of program, publications and budget responsibility. •Responsible for the planning and administration of all official meetings of the Association to include all quarterly and annual meetings. •Plans and executes communications to the membership, including newsletters, general mailings, news releases, etc. •Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; monitoring clerical functions. •Maintain and update website on a daily basis. •Design and maintain membership information database. •Receives and records all incoming funds.
ADDITIONAL RESPONSIBILITIES: •Performs other duties as deemed necessary by the Executive Director. •Carries out such other general responsibilities as may be delegated by the Executive Committee, Board of Directors and Association Membership.
JOB QUALIFICATIONS: •Bachelor’s degree required. •Prior association, management and event planning experience required including experience in payroll, budget management and managing membership databases. •Basic knowledge of community organizations and resources. •Excellent written and verbal communications. •Valid driver's license. •Advanced computer skills (Quicken experience required) •Supply management experience.
